Best Business Email Hosting in 2026

The short answer

  1. #1 Fastmail: Independent email, calendar and contacts for teams. Best for: Small teams that want plain, dependable mail.
  2. #2 mailbox.org: German mail host with office tools in higher tiers. Best for: Small teams wanting a German provider.
  3. #3 Zoho Mail: Ad-free business email with a free tier. Best for: Startups and Zoho suite users.

Visibility in this ranking can be paid for. Payment moves a vendor's position within the shortlist; it never adds a vendor, and it never changes a word of the review. The largest vendors in business email hosting cannot hold places 1 to 3. Places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow from place 4 in their ranked order. The 12 tools, reviewed

#1 Fastmail

Independent email, calendar and contacts for teams · Australia · fastmail.com

Independent Per-user tiers Calendar and contacts

Fastmail comes first because it does the one job a mail host exists for without making the buyer buy anything else. The pricing page shows three tiers by storage, from 6 GB to 150 GB per user, and you can read the price for monthly, 12, 24 or 36 month billing before you sign up.

  • Pricing: Per user / month. Three business tiers priced per user per month: Basic €4 monthly or €3 on a 12-month term, Standard €6 or €5, Professional €10 or €9, with a trial of up to 30 days. Free plan: free trial.
  • Best for: Small teams that want plain, dependable mail
  • Strengths: Custom domain addresses; Calendar and contacts; File storage.

Where it falls short

The pages we read list no document editor, video meeting product or device management, so a company that wants an office suite must add one separately.

Wrong for

Companies of fifty or more that need eDiscovery, retention policies or Microsoft-style device control, and anyone whose staff work in Word and Excel all day.

#2 mailbox.org

German mail host with office tools in higher tiers · Germany · mailbox.org

German provider Office tools Low entry price

mailbox.org takes second place because its price ladder is short and cheap, and the middle tier gives a small company more than mail.

  • Pricing: Per user / month. Business plans priced net per user per month: Light €1 with 2 GB, Standard €4 with 20 GB of mail and 10 GB of drive, Premium €12 with 50 GB of mail and 100 GB of drive. Free plan: free trial.
  • Best for: Small teams wanting a German provider
  • Strengths: Custom domains; Calendar and address book; Online office.

Where it falls short

The interface is plainer than Google's or Microsoft's and the office tools are not a full replacement for them.

Wrong for

Companies that live in Microsoft 365 or Google Docs and need real-time co-editing at scale, and organizations needing advanced compliance archives.

#3 Zoho Mail

Ad-free business email with a free tier · India · zoho.com

Free plan Ad-free Zoho suite

Zoho Mail ranks third because it is the only product in this list with a free business plan, and the paid tiers lead to a full suite on one vendor. Mail Free covers up to five users on a single domain with 5 GB each.

  • Pricing: Per user / month. Mail Free for up to 5 users on one domain with 5 GB each. Free plan: free plan.
  • Best for: Startups and Zoho suite users
  • Strengths: Custom domain; Shared calendars; Task integration.

Where it falls short

The free plan leaves out IMAP, POP and ActiveSync, so it works only in the web interface and Zoho's apps.

Wrong for

Teams who want standard IMAP access without paying, and anyone who dislikes yearly commitments.

#4 Google Workspace Gmail

Gmail on a company domain inside Workspace · United States · workspace.google.com

Big tech Office suite Pooled storage

Gmail on a company domain is the default choice for many teams, and for companies whose staff already use Docs, Sheets and Meet it is the easiest purchase. Google states that 99.9% of spam, phishing attempts and malware is blocked in Gmail, which is its own figure.

  • Pricing: Per user / month. Per user per month, excluding tax, on the page we read: Starter €6.80 (30 GB pooled), Standard €13.60 (2 TB pooled), Plus €21.10 (5 TB pooled), Enterprise on request. Free plan: free trial.
  • Best for: Teams already working in Google Docs
  • Strengths: Custom domain Gmail; Gemini assistant in Gmail; Video meetings.

Where it falls short

Email is one feature in a bundle, so a company that only needs mailboxes pays for Meet, storage and AI features it may not use. Starter, Standard and Plus are capped at 300 users.

Wrong for

Companies that want mail only, or want a non-US provider contract.

#5 Microsoft Exchange Online

Hosted Exchange mail, calendar and contacts · United States · microsoft.com

Big tech Exchange Admin tooling

Exchange Online is the reference implementation of the mail system many enterprises already run, and nothing else here matches its admin surface. Microsoft's service description lists role-based permissions, shared and resource mailboxes, transport rules, hybrid deployment with on-premises Exchange and PowerShell access. Plan 2 adds archiving, in-place and litigation hold and data loss prevention.

  • Pricing: Per user / month. Per user per month as a standalone plan or inside Microsoft 365 business plans. Free plan: none.
  • Best for: Outlook-centered companies with an admin
  • Strengths: Exchange admin center; Anti-spam and anti-malware; Shared mailboxes.

Where it falls short

Setup and administration assume an IT person, and licensing is spread across Exchange plans and Microsoft 365 bundles, so the buyer has to read plan tables carefully.

Wrong for

Teams of under ten who want a mailbox without an admin console.

#6 Proton Mail for Business

Encrypted business email and calendar · Switzerland · proton.me

Encrypted Swiss company Custom domain

Proton Mail is sixth because it solves a specific problem well: keeping message content out of the provider's reach. The business page describes encrypted email and calendar with custom domains, catch-all addresses, groups, a central admin panel and the Bridge application for Outlook, Apple Mail and Thunderbird.

  • Pricing: Per user / month. Annual billing per user per month: Mail Essentials $6.99 with 15 GB, Workspace Standard $12.99 with 1 TB, Workspace Premium $19.99 with 3 TB, Enterprise custom. Free plan: none.
  • Best for: Privacy-sensitive teams and professionals
  • Strengths: Custom domain; Catch-all addresses; Groups.

Where it falls short

Encryption has costs: desktop clients connect through the Bridge application rather than plain IMAP directly to the server.

Wrong for

Companies that need plain IMAP access for scripts and shared tools, and buyers who simply want the lowest price per mailbox.

#7 Migadu

Unlimited mailboxes and domains, priced by volume · Switzerland · migadu.com

Unlimited mailboxes No ads Swiss GmbH

Migadu is seventh and the best answer to a specific buyer: someone who runs many domains and many addresses and does not want a per-seat bill. Every plan has no limit on addresses or domains, and the price follows volume.

  • Pricing: Usage-based. Usage tiers: Micro $19 per year only, Mini $9 monthly or $90 yearly, Standard $29 or $290, Maxi $99 or $990, with daily sending limits and soft storage caps. Free plan: none.
  • Best for: Developers, agencies and multi-domain owners
  • Strengths: Unlimited mailboxes; Unlimited domains; IMAP and SMTP.

Where it falls short

Daily sending caps are low on the small plans and can stop a busy shared mailbox. The interface and support are built for technical people, and there is no calendar suite, document editor or bundled office.

Wrong for

Non-technical teams that want calendars, a polished admin interface and an on-call helpdesk, and companies with heavy outgoing mail.

#8 Runbox

Norwegian email host with sub-accounts · Norway · runbox.com

Norway hosting Sub-accounts Low price

Runbox is eighth because it is cheap and consistent but narrow. The pricing page shows six main account sizes from 2 GB at €19.95 a year to 250 GB at €179.95, and sub-accounts from €7.95 a year that team owners can hand to colleagues.

  • Pricing: Per account / year. Main accounts on a one-year plan: Micro €19.95 per year, Mini €34.95, Medium €49.95, Max €79.95, Max100 €119.95, Max250 €179.95. Free plan: free trial.
  • Best for: Small teams wanting Nordic hosting
  • Strengths: Custom domains; Sub-accounts; Aliases.

Where it falls short

Per-day limits of 5,000 incoming and 500 outgoing messages apply, and extra domains need a paid add-on at €4.95.

Wrong for

Teams who need single sign-on, directory sync or compliance archiving, and users who expect modern collaboration tools.

#9 Tuta Mail

Encrypted email with business plans · Germany · tuta.com

Encrypted German servers Own apps

Tuta ranks ninth. The business page lists three plans with increasing storage, from 50 GB for freelancers to 1,000 GB for businesses, plus unlimited calendars and labels, an admin console, two-factor sign-in and post-quantum encryption. It states servers in Germany and a 99.95% service-level figure. Tutao GmbH is based in Hanover.

  • Pricing: Per user / month. Business plans Essential (50 GB, 3 custom domains), Advanced (500 GB, 10 domains) and Unlimited (1,000 GB, unlimited domains), priced per user per month yearly excluding tax. Free plan: none.
  • Best for: Privacy-focused small organizations
  • Strengths: End-to-end encryption; Post-quantum encryption; Custom domains.

Where it falls short

Standard IMAP access is not offered, so third-party mail clients do not connect. The business plan prices were not readable in the page we fetched, and support levels are email only at the lowest tier.

Wrong for

Companies that depend on Outlook, shared Exchange resources or scripts that read mail by IMAP.

Visit Tuta Mail →

#10 IONOS Email

Email bundled with domains and web hosting · Germany · ionos.com

Hosting bundle Intro pricing Exchange options

IONOS Email is tenth: sensible for a company that already buys domains and a site from IONOS and wants one invoice. The page lists a one-account plan with 2 GB, a 25-account plan with 2 GB each, and a 50 GB per user plan.

  • Pricing: Per account / month. Plans with introductory pricing on multi-year terms: a one-account plan at $1.10 a month for three years then $2, a 25-account plan at $2 then $4, a 50 GB per user plan at $3, and Exchange-based plans from $4.50 to $17. Free plan: none.
  • Best for: Small sites already hosted at IONOS
  • Strengths: Custom domain; Webmail; IMAP sync.

Where it falls short

The advertised prices are introductory offers on long terms, and the pages we read show a higher price afterwards for some plans.

Wrong for

Companies who want transparent per-user pricing and long-term price stability, and teams who need more than 2 GB per mailbox.

Visit IONOS Email →

#11 Rackspace Email

Managed business email with support · United States · rackspace.com

Managed service Free migration US company

Rackspace Email is eleventh because it targets companies that would rather pay an operator than administer mail themselves. The email page offers free and easy migrations, premium anti-spam and anti-virus protection and around-the-clock access to expert support, and says Rackspace brings more than 20 years of experience hosting email.

  • Pricing: Per user / month. Rackspace Email Plus starts at $2.99 per user per month and adds file storage, ActiveSync, Office-compatible apps and instant messaging. Free plan: none.
  • Best for: Companies wanting a managed provider
  • Strengths: Anti-spam and anti-virus; Free migrations; ActiveSync.

Where it falls short

The page does not publish the base plan price, mailbox size or a trial, so a buyer must ask for a quote to compare.

Wrong for

Small teams who want a self-serve price list and trial, and buyers who care about independent vendors rather than a large managed-services company.

Visit Rackspace Email →

#12 Titan Email

Reseller-distributed business email · Cayman Islands · titan.email

Reseller email Three tiers AI assistant

Titan Email is twelfth, and the reason is partly about how it is sold. It appears under many hosting and site-builder brands, and the company page lists WordPress.com, GoDaddy, Hostinger, name.com, HostGator, Bluehost and Squarespace among partners.

  • Pricing: Per account / month. Three tiers, Pro (10 GB), Premium (50 GB) and Ultra (100 GB). Free plan: none.
  • Best for: Site owners buying email at their host
  • Strengths: Pro, Premium, Ultra tiers; Two-factor sign-in; Priority inbox.

Where it falls short

No prices were readable on the site we fetched, and a partner's own price may differ from Titan's.

Wrong for

Companies who want to see the price, trial terms and operating location before buying, and teams with compliance duties.

Visit Titan Email →

What this category is

Business email hosting is a subscription service that runs mail servers for a company's own domain, so addresses such as name@company.com work without the company operating anything.

How we ranked these

Five tests, applied to every product. The order is not the tests alone: places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them, and the established names follow from place 4 in their ranked order.

  • Setup: Domain records, mailbox copy and the first week of mail.
  • The real price: Mailbox plans, storage tiers and bundles.
  • Getting your data out: IMAP, exports and calendar files.
  • Independence from the vendor: Who owns the platform and where mail sits.
  • Who it's for: Team size, compliance duty and tolerance for admin work.

What the data says about this market

The twelve products on this page come from companies in seven jurisdictions. Three are US companies (Google, Microsoft and Rackspace), three are German (mailbox.org, Tuta and IONOS), two are Swiss (Proton and Migadu), and one each is Australian (Fastmail), Indian (Zoho), Norwegian (Runbox) and Cayman Islands based (Titan). Two of the three US names are big-tech suites in which email is one module of a larger office product, and the rest sell email as the main thing.

How to choose

  1. Inventory the mailboxes you really run. List every address that receives mail: people, shared inboxes such as billing@ and support@, scanners and application senders.
  2. Trial two providers with one real domain. Pick a low-risk domain, a secondary brand or a staff alias, and run it on two candidates for the length of the trial, which is often 30 days.
  3. Plan the exit before you commit. Keep your domain registered somewhere other than your mail host, so you can change MX records without asking permission.

Questions and answers

What is the best business email hosting in 2026?

Fastmail ranks first of 12, best for small teams that want plain, dependable mail. mailbox.org is second (small teams wanting a German provider) and Zoho Mail third (startups and Zoho suite users). Places 1 to 3 go to challengers, vendors outside the best-known brands, wherever the category has them.

Is Google Workspace or Microsoft 365 better for business email?

Neither is better in general; the choice follows the software your staff already use.

Can I use my own domain with these services?

Yes, all twelve support addresses on your own domain; that is the point of business hosting. You add the domain in the admin console, prove ownership with a DNS record and change the MX records.

Is there a free business email service?

Zoho Mail has a free plan for up to five users on a single domain, with 5 GB of mail storage per user, but IMAP, POP and ActiveSync are not included on it, so you are limited to the web and Zoho's apps.

How much does business email cost per user?

From roughly €1 to €21 per user per month, depending on what else is in the plan. mailbox.org Light is €1 and Fastmail Basic is €3 on a 12-month term.

Do I need end-to-end encrypted email for my business?

Only if your risk or your clients demand it. Proton and Tuta encrypt mailbox contents so that the provider cannot read them, and Tuta states that its servers are in Germany while Proton describes itself as Swiss-based.

How do I move email from one provider to another?

Add the new provider, set up the domain, create the mailboxes and copy the old mail using IMAP migration, which Fastmail, mailbox.org, Zoho, Google and Microsoft all document.

What are the sending limits on business email hosting?

They vary and are rarely on the front page. Migadu publishes daily limits per plan: Micro 200 incoming and 20 outgoing, Mini 1,000 and 100, Standard 3,000 and 500, Maxi 10,000 and 2,000.

Is it safe to buy email from a web hosting company?

It can be a sensible choice for a small team that already buys a domain and site there, and IONOS, Rackspace and the Titan resellers sell it that way.

How much storage does a business mailbox need?

Most staff need less than 20 GB for years of mail; sales, finance and support users with large attachments can reach 50 GB or more. Plans range from 2 GB (mailbox.org Light) to 150 GB (Fastmail Professional) and beyond.

Do these providers support Outlook and phone mail apps?

Mostly yes, through IMAP, SMTP and Exchange ActiveSync. Fastmail, mailbox.org, Migadu, Runbox, Google and Microsoft support standard clients; Zoho's free plan excludes IMAP, POP and ActiveSync.
