Questions and answers
Can I export all my data from Zoho CRM?
Yes, admins can request a full data backup as zipped CSV files plus attachments, and users with export permission can export single modules as CSV or XLSX. Email content, email attachments and documents are not included in the backup, so keep separate copies.
How many records can I export at once?
Up to 200,000 records per CSV export and 50,000 per XLSX export, according to Zoho's help center. Larger sets can be split by created time or taken as a backup. Daily export counts also depend on the edition, from 10 on Free to 1,000 on Ultimate.
How long do I have to download an export or backup?
Seven days for both. The export file stays available for seven days from creation, and the backup download link stays active for a maximum of seven days. Download promptly and verify the files before cancelling the account.
How much notice does Zoho need to cancel?
At least seven days before the renewal date, according to Zoho's terms of service. Without notice, the subscription renews automatically. You can also downgrade the paid plan to a free plan instead of closing the account.
What happens to my data after I terminate?
Zoho's privacy policy says data is deleted from the active database during a clean-up that runs once every six months, and from backups three months after that. The terms of service give no fixed export window after termination, so export first.
Will my API integrations carry over to another CRM?
No, they need rebuilding. Zoho's API credits and endpoints are specific to Zoho CRM, including its Bulk, Composite and Query APIs. Check the destination's own rate limits, because Zoho's allowance grows with the edition and the number of user licenses.
