When HubSpot is still the right choice

Stay if your team uses Professional or Enterprise features daily and the onboarding fee is already paid. Stay as well if you are one or two users on the free CRM: it costs nothing, and moving it means rebuilding pipelines for no saving. The case for leaving starts at the third seat or the first renewal increase.

What to expect when you switch from HubSpot

  1. Export with associations, then test

    HubSpot exports contacts, companies, deals, tickets and custom objects as CSV, XLSX or XLS, with associations included on request. Only users with Export permission can run it. Export every object you need, open the files, and test an import into the new tool before you cancel.

  2. Turn off auto-renewal on time

    HubSpot subscriptions renew automatically unless you disable auto-renewal in Account & Billing before the current term ends. Set that date in your calendar, and keep the account read-only until the new CRM has run one full reporting cycle.

Questions and answers

Can I export all my data from HubSpot?

Yes, records export as CSV, XLSX or XLS, for contacts, companies, deals, tickets and custom objects among others. Files over 1,000,000 rows are split, download links expire after 30 days, and you can run up to 300 exports in 24 hours.

Who can run a HubSpot export?

Only users with Export permission in the CRM tools. If your admin has not given that permission to the person doing the migration, assign it first, because exports are the step that can stall a switch.

Will HubSpot raise my price at renewal?

It can. The customer terms let HubSpot raise fees at renewal up to current list prices, with 30 days' notice, and let you terminate without penalty if you reject the increase.

How do I cancel a HubSpot subscription?

Turn off the auto-renewal setting in Account & Billing before the current term ends. The terms state that the subscription otherwise renews automatically, so cancelling after the term has rolled over is too late.

Which alternatives have a free plan?

Zoho CRM is free for up to three users, Attio for up to three seats, and Capsule for two users and 250 contacts. Pipedrive, Close and Copper offer trials only, and monday CRM requires three paid seats.
