Gainsight alternatives: 11 compared

Teams look past Gainsight when pricing is available only through a sales request, when the sizing by full users and customers per user does not fit, or when they want one product rather than a family of separately sold ones. Most go to Vitally, Planhat or ChurnZero for a like-for-like platform, and to HubSpot Service Hub when a CRM already holds the customer record.

Short answer: The closest replacements for Gainsight in our customer success software ranking are Vitally, Planhat and ChurnZero. Choose Vitally if you want one feature set on every plan and unlimited observer seats. All 11 alternatives below are ranked products from Best Customer Success Software in 2026, and each says where it differs from Gainsight and when Gainsight is still the better choice.

Visibility in our rankings can be paid for. Payment moves a vendor's position within the shortlist; it never adds a vendor, and it never changes a word of the review or of this page. The first three alternatives go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow in their ranked order. How it works: placement disclosure · editorial process.

Why buyers look past Gainsight

  1. Pricing is only given on request

The pricing page lists Customer Success Essentials and Enterprise but shows no dollar amounts, and both carry a Request Pricing button. The same is true of Product Experience. A buyer cannot compare a budget against a published figure before talking to sales.

  2. Plans are sized by users and by accounts

Essentials includes 10 full users at 100 customers per user, and Enterprise includes 20 at 200. Renewal forecasting and organizational mapping are Enterprise only. A team that outgrows the account allowance has to move up a tier, not just add seats.

  3. The product is now a family

Gainsight lists CS, Staircase AI, Atlas AI Agents, Skilljar, Customer Communities and Product Experience as separate products, each with its own pricing page entry. A buyer who needs only health scoring and playbooks may not want a vendor whose road map spans academies and communities.

What each alternative does differently

1. Vitally

AI-assisted workspace for customer success teams · United States

Three plans named after the touch model (Tech, Hybrid and High), all with the same core features. Unlimited automations, unlimited observer seats and single sign-on come on every plan. No prices are published, so the sales step remains, but the plan choice does not depend on account counts.

Switch from Gainsight if you want one feature set on every plan and unlimited observer seats.

Pricing: Three plans (Tech-Touch, Hybrid-Touch, High-Touch) with identical core features; no prices published, pricing on request. (free trial)

2. Planhat

Agentic customer platform for B2B teams · Sweden

Sold as three product lines, CRM, CSP for customer success and PSA for professional services, with add-ons such as advanced portals and email marketing. Pricing is quote-based. It suits a team that wants the customer record and the commercial pipeline in a single system, rather than a CS tool beside a CRM.

Switch from Gainsight if you want customer success, CRM and services delivery in one data model.

Pricing: Quote-based with add-ons such as an upgraded AI platform, advanced service, email marketing and advanced portals; no prices published. (none)

Full review: #4 of 12 in our ranking · Visit Planhat →

3. ChurnZero

Churn-focused platform with in-app messaging · United States

Built around churn prevention, with in-app communications, journeys, plays and renewal forecasting. The homepage names twenty AI agents plus an assistant called Kit. No pricing appears on the pages we loaded. In-app communications sit in the same product, not in a second one.

Switch from Gainsight if you want in-app messaging to customers and churn tooling in a single product.

Pricing: No prices published on the pages we could load; the pricing URL returned an error, so cost comes from a quote. (none)

4. Totango

Customer success platform now branded Odie · United States

Totango now brands itself as Odie, a customer knowledge engine for post-sales teams and their agents, and still lists the Catalyst customer growth platform. Its site shows no pricing. Expect a transition, since the company is renaming itself and has launched a new platform beside the older one.

Switch from Gainsight if you are building AI agents on customer data and accept a vendor in transition.

Pricing: No prices on the pages we fetched; its pricing URL returned an error and the homepage points to demos. (none)

Full review: #9 of 12 in our ranking · Visit Totango →

5. ClientSuccess

Customer success platform with SuccessScore health tracking · United States

Three packages sized by customers and licenses: Startup to 500 customers and 10 licenses, Growth to 5,000 and 50, Enterprise unlimited. Prices stay on request and there is no self-serve trial. It offers a gentler ladder than Gainsight's, with a Customer Portal as an add-on for the lower two packages.

Switch from Gainsight if you are a small or mid-sized team and want clear package limits.

Pricing: Startup package up to 500 customers and 10 licenses, Growth up to 5,000 customers and 50 licenses, Enterprise unlimited; prices on request, no setup fees. (none)

Full review: #2 of 12 in our ranking · Visit ClientSuccess →

6. Custify

Customer success platform for small SaaS teams · Romania

Aimed at smaller SaaS teams. The site states data is stored in Germany, that there are no setup fees, and that concierge onboarding takes four weeks. ISO 27001 and GDPR compliance are claimed. The pricing page shows no tier prices. It carries fewer modules than Gainsight and no academy or communities product.

Switch from Gainsight if you are a small SaaS team that wants German data storage and guided onboarding.

Pricing: Flexible pricing with no setup fees; the pricing page we fetched showed no tier prices, so figures come from a sales conversation. (none)

7. Velaris

AI-native customer success for B2B SaaS · United Kingdom

A single license covers five users, unlimited viewers, three custom objects and AI summaries, with the Customer Portal and Velaris Support sold as add-ons. Pricing is a custom estimate. The site lists 70 or more integrations and describes AI agents run on a model of every account.

Switch from Gainsight if you want a five-user base license with unlimited viewers and AI agents built in.

Pricing: Base license of 5 users with unlimited viewers; Customer Portal and Support are separate add-ons; custom estimate on request. (none)

8. HubSpot Service Hub

CRM-native customer success workspace · United States

Priced per seat, from $7 on Starter to $90 on Professional and $150 on Enterprise, with a free plan for two users. Professional and Enterprise carry a one-time onboarding fee of $1,500 and $3,500. It is a help desk first, so deep renewal and expansion forecasting is thinner than in a dedicated platform.

Switch from Gainsight if your CRM is HubSpot and you want published per-seat prices.

Pricing: Service Hub lists a free plan for up to 2 users, Starter from $7 per seat per month, Professional from $90 and Enterprise from $150; the workspace is in the last two. (free plan)

Full review: #8 of 12 in our ranking · Visit HubSpot Service Hub →

9. SmartKarrot

Customer success platform with published entry plan · United States

Publishes its entry price: Basic from $15,000 a year with five users and two third-party integrations, billed annually. Growth, Pro and Enterprise are by contact. Tiers also count the SaaS products tracked for usage. Call intelligence and advanced AI trends are priced as add-ons on top of the plan.

Switch from Gainsight if you want a stated annual starting price before a sales call.

Pricing: Basic from $15,000 a year with 5 users and 2 integrations; Growth with 10 users, Pro with 25 users, Enterprise custom, all via sales. (none)

Full review: #10 of 12 in our ranking · Visit SmartKarrot →

10. Staircase AI

Conversation analysis for churn and expansion signals · United States

Gainsight owns it, so it is not a way out of the vendor. The page describes it as analyzing customer conversations for churn risk, expansion and stakeholder disengagement, and says Gainsight CS turns the signal into action. It does not say whether it is sold alone. Offers no pricing.

Switch from Gainsight if you keep Gainsight but want conversation signals without manual logging.

Pricing: No prices on its page; visitors are directed to schedule demos. (none)

Full review: #11 of 12 in our ranking · Visit Staircase AI →

11. Churnkey

Cancel flows and payment recovery for subscriptions · United States

Not a CS workspace. It handles cancel flows and failed-payment recovery for subscription billing, with Starter at $250 a month billed yearly for accounts with under $5,000 of monthly churn. The price is fixed for 12 months. There is a 14-day trial with no card, and it replaces none of Gainsight's CSM tooling.

Switch from Gainsight if your churn is mostly self-serve subscribers who cancel or fail to pay.

Pricing: Four tiers priced by average monthly churned revenue, Starter in the low hundreds of dollars a month, Core and Intelligence higher, Enterprise custom; 14-day trial. (free trial)

When Gainsight is still the right choice

Gainsight remains right for a large CS organization with dedicated administrators that wants the whole family from one vendor: CS, digital journeys, Skilljar academies, communities and in-app guides. Essentials advertises onboarding in as little as two weeks, and viewer licenses are unlimited on both plans. If your account counts fit the 100 or 200 per user allowances, the sizing is not a cost problem.

What to expect when you switch from Gainsight

  1. Read the signed agreement first

The customer terms for Gainsight CS were not reachable on the public site we checked, and the pages we could read cover Customer Communities and the website. Customer Communities terms set renewal at the same term, with notice three months before the end date. Check your own order form for CS.

  2. Ask for data return in writing

The Customer Communities data processing addendum says that on termination Gainsight deletes or returns client data at the client's written election, with no number of days and no format stated. Ask for the CS equivalent, and the export format, before you sign a new platform.

  3. Split the product family before you leave

Skilljar, Customer Communities and Product Experience are separate products with their own plans and terms. Decide which of them leave with the CS module and which stay, since each may have its own renewal date and notice period.

Questions and answers

How much does Gainsight cost?

The public pricing page gives no dollar amounts, only a Request Pricing link for each product. Customer Success Essentials includes 10 full users at 100 customers per user, and Enterprise includes 20 at 200. Ask for a quote in writing and compare it against the published figures from HubSpot or SmartKarrot.

Can I export my data from Gainsight CS?

We could not confirm an export route from a public vendor page for Gainsight CS. The data processing addendum we read, for Customer Communities, says data is deleted or returned at the client's election after termination. Ask Gainsight for the export format and timing before notice.

How much notice do I need to give to cancel?

For Customer Communities the terms require written notice three months before the contract end date, or the agreement renews for the same term. We could not find the CS terms publicly. Read your order form for the notice date and diarize it.

Does Gainsight raise prices at renewal?

The Customer Communities terms allow rate increases of up to 6% a year with 30 days' notice and give no right to terminate over them. Whether the CS agreement says the same is not public. Raise it in the renewal negotiation, not after.

Is Staircase AI separate from Gainsight?

No, it is a Gainsight product, presented as Staircase AI by Gainsight and listed under its products. Choosing it does not end the relationship with the vendor. Its page does not state whether it can be bought without Gainsight CS.

Is there a free or lighter plan for a small team?

Gainsight shows no free plan. HubSpot Service Hub has a free plan for two users, and Churnkey a 14-day trial with no card. Vitally's pricing page offers a dedicated trial sandbox with your data, and the others work through demos.
