Teams look past Toggl when approvals and SSO sit a tier up, when the free plan exports only PDF, or when the split between Toggl Track and Toggl 2.0 makes the roadmap unclear. Most go to Clockify or Harvest for a like-for-like timer, to Kimai for self-hosting, or to Jibble for attendance.

Why buyers look past Toggl (formerly Toggl Track)

  1. Approvals and SSO need Premium

Toggl's pricing page lists Starter at $9 per user a month billed annually and Premium at $16 ($12 and $24 monthly). Timesheet approvals, fixed-fee projects and SSO start on Premium, and the audit log is Enterprise only. A team that needs sign-off pays the higher rate for every seat.

  2. Free plan exports and API quotas are tight

Toggl's export guide says the Free plan on Toggl Track supports PDF exports only, with CSV and other formats on paid plans. Its API page caps requests per user per hour at 30 on Free, 240 on Starter and 600 on Premium, and answers with HTTP 402 beyond that.

  3. Two products under one name

The export guide describes Toggl 2.0 (Focus) as a separate product with its own export options and API, and Track API tokens do not work against it. The Toggl home page says Track and Plan remain available for existing users. Anyone writing integrations has to pick a line.

When Toggl (formerly Toggl Track) is still the right choice

Toggl is still the right choice for a team that wants a simple timer people actually use, with billable rates and team reports on Starter. Its own pages state a no-screenshots, no-surveillance stance, which matters if staff trust is the goal. If you do not need approvals, SSO or an audit log, the entry tiers are enough.

What to expect when you switch from Toggl (formerly Toggl Track)

  1. Export before you cancel

Time entries come out of the Detailed Report as CSV, a paid-plan format. Regular users export only their own entries, while admins can export all of them. Workspace admins can also use the Data Export page in Settings. Timeline data is raw JSON in UNIX time and covers the last 90 days.

  2. Cancellation and billing

Toggl's help center says a cancelled subscription ends at the close of the billing cycle, with no refunds on cancelled or changed plans. Vacant licenses stay billed until then. If you are over the free user limit, the organization is suspended. Inactive free-plan data is deleted after six months.

Questions and answers

Can I export my Toggl Track data as CSV?

Yes, but CSV and other formats require a paid plan on Toggl Track, since the Free plan supports PDF exports only. Admins can export every time entry from the Detailed Report, while regular users get only their own.

What happens to my data if I cancel Toggl?

Your plan runs to the end of the paid billing cycle, then the organization drops to Free if it is within the free user limit. Over that limit it is suspended. Free accounts inactive for six months have their data deleted.

Does Toggl refund unused time on an annual plan?

No, the help center states a no-refund policy, including cancelled or changed plans and renewals, except for system errors. Cancel before renewal rather than after, and remove unneeded users first.

Are Toggl Track and Toggl 2.0 the same product?

No, Toggl's export guide calls Toggl 2.0 (Focus) a separate product with its own export options and API. Track API tokens and Focus tokens are not interchangeable, so check which one your integrations call.

Will my API integrations break if I leave Toggl?

Yes, any script or connector pointing at api.track.toggl.com must be rewritten for the new tool's API. Toggl also rate-limits that API, at 30 requests an hour per user on Free and up to 600 on Premium, which affects bulk export scripts.

Which Toggl plan do I need for timesheet approvals?

Premium, which the pricing page lists at $16 per user a month billed annually. Approvals, SSO and fixed-fee projects begin there, and the audit log is Enterprise only.
