Best School Management Software in 2026

The short answer

  1. #1 Sycamore: All-in-one K-12 school platform with a published per-student price. Best for: Independent K-12 schools.
  2. #2 Alma: Cloud student information system for charters, districts and independents. Best for: Charter schools and districts.
  3. #3 Veracross: Single-database suite for private and independent K-12 schools. Best for: Private and boarding schools.

Visibility in this ranking can be paid for. Payment moves a vendor's position within the shortlist; it never adds a vendor, and it never changes a word of the review. The largest vendors in school management software cannot hold places 1 to 3. Places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow from place 4 in their ranked order. How it works: placement disclosure · editorial process.

The 13 tools, reviewed

#1 Sycamore

All-in-one K-12 school platform with a published per-student price · United States · sycamoreeducation.com

Published price Tuition and payments Parent app

Sycamore is the rare vendor that puts its number on the page and lets the school do the arithmetic. At $4 per student per month, a 250-student school pays $12,000 a year with every module on, including admissions, tuition and the parent app. Onboarding has a stated floor of $2,500 and a stated go-live window of 4 to 8 weeks.

  • Pricing: Per student / month. $4 per student per month with all eight modules included, an 18-month minimum term, a $2,500 minimum onboarding fee and published card and ACH rates. Free plan: none.
  • Best for: Independent K-12 schools
  • Strengths: Student information system; Attendance with parent push alerts; Gradebook.

Where it falls short

The 18-month minimum is real, and the terms of service reserve the right to change fees and to delete account files after termination, so get the fee lock and an export clause in writing.

Wrong for

Skip it if you are a public district that must file state agency reports, or a school that wants to keep payments with its existing bank at no extra layer.

#2 Alma

Cloud student information system for charters, districts and independents · United States · getalma.com

State reporting Competency grading Charter-friendly

Alma earns second place on breadth for the money-conscious public-sector buyer. The site lists state reporting, enrollment and admissions, attendance, fee management, traditional and competency grading, scheduling and incident tracking as separate solution areas, and it names larger districts, midsize districts, charter schools, independent schools, international schools and state agencies as customers. It states it supports more than 6 million students.

  • Pricing: Quote only. Quote only through a demo request; no price is published on the site. Free plan: none.
  • Best for: Charter schools and districts
  • Strengths: Core student information; State reporting; Enrollment and admissions.

Where it falls short

No pricing is published, so budget comparison needs a demo and a quote. The testimonials on the site are unattributed to named schools, which makes independent reference checks your job.

Wrong for

Skip it if you need a published price before the first call, or a deep tuition-and-development suite for a private school.

Visit Alma →

#3 Veracross

Single-database suite for private and independent K-12 schools · United States · veracross.com

One database Private K-12 200+ integrations

Veracross is built around one idea: a person exists once, whether she is an applicant, a student, an alum or a donor. The platform covers academics, admission, development, accounting, tuition, health and wellness, marketing and portals on one database, and it states more than 3,300 schools in over 70 countries.

  • Pricing: Quote only. No public price; the site routes everything through a demo request. Free plan: none.
  • Best for: Private and boarding schools
  • Strengths: Academics and student life; Admission and enrollment; Development.

Where it falls short

The price is hidden, and the breadth means a school pays to implement modules it may not use for years. Public districts are outside its stated focus, which is private and independent K-12 schools.

Wrong for

Skip it if you are a public district, a very small school with one administrator, or a buyer who needs a published rate.

#4 Arbor

Cloud MIS and school management suite for UK schools and trusts · United Kingdom · arbor-education.com

UK census Trust-level MIS Pay-for-One

Arbor is the system to beat for a UK school. It states more than 12,500 schools and trusts, ships separate products for schools, multi-academy trusts and local authorities, and has added finance, HR and timetabling through SAMpeople and TimeTabler.

  • Pricing: Quote only. Quote only; the Pay-for-One Promise waives the core license until a SIMS contract ends in 2027 or 2028, with higher tiers priced separately. Free plan: none.
  • Best for: UK state schools and trusts
  • Strengths: School MIS; MAT MIS; Local authority MIS.

Where it falls short

The product is designed around UK statutory returns, so it is a poor fit elsewhere. The promised free core license replaces core SIMS only, and extended functions move you to a paid tier. Pricing is not published.

Wrong for

Skip it if your school is outside the United Kingdom or needs US-style state reporting and tuition billing.

#5 openSIS

Student information system priced by staff, not students · United States · opensis.com

Staff-based pricing Free trial API at Advanced

openSIS flips the usual math. A school pays for active staff and gets unlimited student and parent accounts from the Essential tier, so a 600-student school with 30 staff does not pay for the 600.

  • Pricing: Per staff / month. $4, $8 or $12 per staff member per month on annual billing (Core, Essential, Advanced), $5, $10 or $14 billed monthly, with a 200-staff minimum for the district tier. Free plan: free trial.
  • Best for: Schools with small staff teams
  • Strengths: Student information; Scheduling; Attendance.

Where it falls short

The entry tier is capped at 5 staff, 50 students and 100 parents, so it is a pilot, not a school. Single sign-on and the LMS bridge are add-ons below Advanced.

Wrong for

Skip it if your staff count is high relative to enrollment, since per-staff pricing then costs more than per-student, or if you need a tuition-and-development suite.

#7 Rediker Software

AdminPlus SIS with admissions, billing and diocesan tools · United States · rediker.com

Diocesan tools School accounting Since 1980

Rediker has sold school software since 1980 and keeps its product list modular: AdminPlus for records, TeacherPlus for gradebooks, AdmissionsPlus for applications and lotteries, PlusPortals for families, FINACS for accounting and billing, and RediSite for websites. It also offers multi-school management for districts and dioceses, which most small-school vendors skip.

  • Pricing: Quote only. No price is published on the pages we read; pricing is by request. Free plan: none.
  • Best for: Catholic and private schools
  • Strengths: AdminPlus SIS; TeacherPlus gradebook; AdmissionsPlus.

Where it falls short

No pricing or export terms were visible. The product is split across several brand names, which can mean separate modules and separate contracts.

Wrong for

Skip it if you want one published price or a modern suite designed around a single parent app.

#8 Classter

Modular SIS, LMS and CRM for schools, colleges and academies · Greece · classter.com

Modular pricing 40+ integrations 7 languages

Classter is built in Kavala, Greece, and the site offers English, Italian, Greek, French, German, Spanish and Arabic. Its pricing page shows how a quote is constructed, with a 1,000-student college at EUR 8.50 per student for Core and EUR 6.50 for Academics and LMS, and a stated total of EUR 25,500 per year for that selection.

  • Pricing: Per student / module. Custom plan priced per student per module; the site's example lists EUR 8.50 for Core and EUR 6.50 for Academics and LMS. Free plan: none.
  • Best for: International schools and colleges
  • Strengths: Student information system; Academics and LMS; Admissions.

Where it falls short

Per-student, per-module pricing can climb quickly if you switch on many modules. The breadth of audiences (K-12, higher education, corporate learning) can make the product feel generic for a single small school.

Wrong for

Skip it if you are a US public district or a school that wants one flat price covering everything.

Visit Classter →

#9 Gibbon

Free open source school platform you host yourself · Hong Kong · gibbonedu.org

Free Self-hosted 26 languages

Gibbon is a school platform created at a Hong Kong international school and now overseen by the Gibbon Foundation, a non-profit.

  • Pricing: Open source. Free to download under GPL v3; you pay for your own hosting and administration. Free plan: open source.
  • Best for: Technical teams and small schools
  • Strengths: Student information; Timetabling; Markbook.

Where it falls short

There is no vendor support contract, only forums, documentation and community help. Backups, uptime, security patches and parent-portal performance are your job. It has no tuition payments or state-agency reporting packaged for a specific country.

Wrong for

Skip it if nobody on staff can maintain a server, or if you need a guaranteed response time.

#10 Edsby

K-12 learning, assessment and family communication platform · Canada · edsby.com

ISO 27001 Assessment Family app

Edsby is operated by CoreFour Inc. in Richmond Hill, Ontario, and describes itself as one platform built by one team, not by acquisition. It combines assessment, family messaging, forms and district analytics under a single login for staff, students and families, and the site cites a national deployment in Georgia for 600,000 students.

  • Pricing: Quote only. Quote only; the site directs buyers to contact sales. Free plan: none.
  • Best for: Districts and governments
  • Strengths: Grade book and assessment; Competency-based learning; Family communication.

Where it falls short

Its own documentation says information in Edsby is determined by customer systems of record, so you still need an SIS for enrollment, scheduling and billing. Pricing is not published.

Wrong for

Skip it if you need a single system of record for finance, admissions and tuition.

Visit Edsby →

#11 Infinite Campus

District and statewide student information system · United States · infinitecampus.com

Statewide SIS Extension Marketplace US data centers

Infinite Campus states 11 million students, 3,400 districts, 46 states and 10 state agencies, and it markets what it calls the first SIS with an Extension Marketplace. Its security page says all customer data is hosted in US data centers, each SIS site uses a separate database, and district databases are backed up daily with snapshots kept for 30 days.

  • Pricing: Quote only. Quote only; no pricing is published. Free plan: none.
  • Best for: Large US public districts
  • Strengths: District SIS; Statewide SIS; Extension Marketplace.

Where it falls short

Pricing is invisible and the implementation model is district-scale, with onboarding and training services as separate lines. The product centers on public K-12; private school tuition, admissions and development are not part of the listed products.

Wrong for

Skip it if you are a private school or an international school outside the United States.

Visit Infinite Campus →

#12 PowerSchool

K-12 software suite spanning SIS, learning and operations · United States · powerschool.com

60M students Connected suite Schoology

PowerSchool describes the world's most comprehensive K-12 software, serving more than 60 million students in 90 countries, and organizes its catalog into home connections, student achievement and operational excellence. Products include SIS, enrollment, special programs, SchoolMessenger communications, Schoology Learning, Performance Matters assessment, Naviance, Allovue financial strategy and ERP.

  • Pricing: Quote only. Quote only; no pricing is published. Free plan: none.
  • Best for: Large districts wanting one vendor
  • Strengths: SIS; Enrollment; Special programs.

Where it falls short

The strength is also the risk: the suite is assembled from several named products, and the site gives no pricing or export terms. A small school would pay for far more infrastructure than it needs.

Wrong for

Skip it if you are a single school or a private school with a small office.

Visit PowerSchool →

#13 Blackbaud

K-12 school suite from a fundraising software vendor · United States · blackbaud.com

Total School Solution Enrollment Billing

Blackbaud lists a K-12 school range of an enrollment management system, billing management for tuition and fees, a student information system and a learning management system, packaged as its Total School Solution. The company's broader catalog covers fundraising, fund accounting and payment processing, so a school with a serious development office can keep alumni giving and student records under one vendor.

  • Pricing: Quote only. Quote only; no pricing is published. Free plan: none.
  • Best for: Established private schools
  • Strengths: Enrollment Management System; Billing Management; Student Information System.

Where it falls short

Pricing is not public, and the school product line sits inside a vendor mostly known for nonprofit fundraising, so check how much roadmap attention K-12 receives. Buying the full set means one contract for several modules.

Wrong for

Skip it if you are a small school without a development office, or a public district.

Visit Blackbaud →

What this category is

School management software is a system that keeps a school's student records, attendance, grades, schedules, admissions, tuition billing and family communication in one database. It usually combines a student information system (SIS) with a gradebook, parent and student portals, and optional finance or enrollment modules.

How we ranked these

Five tests, applied to every product. The order is not the tests alone: places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them, and the established names follow from place 4 in their ranked order.

  • Setup: The first term is spent on data, not on screens.
  • The real price: Per student, per staff seat, or a quote.
  • Getting your data out: Transcripts outlive the contract.
  • Independence from the vendor: Who owns the roadmap.
  • Who it's for: Public districts, private schools, or the rest of the world.

What the data says about this market

This market is organized by jurisdiction before it is organized by feature. A US district reports attendance and enrollment to a state agency, a UK school submits census returns, and a private school in Dubai answers to neither. Infinite Campus states it serves 3,400 districts in 46 states plus 10 state agencies, and Arbor states more than 12,500 UK schools and trusts.

More in our report The Global Shift to ICT Services, on market data and in all industry reports.

How to choose

  1. Name the reporting body first. Before you open a single demo, write down who your school reports to and in what format: a state education agency, a UK census, an accreditation body, a diocese, or nobody.
  2. Price the whole stack for your enrollment. Take your current headcount of students and staff and ask every vendor for a written total for year one and year three: license, onboarding, payment processing, parent app, any module sold separately and any support tier.
  3. Rehearse the exit before you sign. Ask for the termination clause and for a sample export of transcripts, guardian contacts and attendance in a format another system can read.

Questions and answers

What is the best school management software in 2026?

Sycamore ranks first of 13, best for independent K-12 schools. Alma is second (charter schools and districts) and Veracross third (private and boarding schools). Places 1 to 3 go to challengers, vendors outside the best-known brands, wherever the category has them.

How much does school management software cost per student?

Published rates vary. Sycamore lists $4 per student per month with all modules.

Is there free school management software?

Yes. Gibbon is free, open source software under the GPL v3 license, developed by the Gibbon Foundation.

What is the difference between a student information system and school management software?

A student information system holds the core records: demographics, enrollment, schedules, attendance and grades.

Which school management software works for international schools?

Several vendors name international schools as a segment. Veracross reports more than 70 countries and a dedicated international schools page. Sycamore says it serves more than 40 countries and includes multi-currency tuition and a multi-language interface.

Can I move from my current system without losing grade history?

Usually, but you must plan it. Ask the new vendor who maps the import, how many years of grades come across, and how guardians and siblings are matched.

Do I need a separate system for tuition billing?

Not necessarily. Sycamore includes tuition, payments and admissions in its per-student price. Veracross sells tuition management and accounting inside its single database. Rediker offers FINACS student billing and school accounting alongside AdminPlus. Blackbaud sells billing management as its own product.

How long does it take to implement a school management system?

Sycamore states 4 to 8 weeks to go live. Gradelink publishes pages on evaluating support during implementation.

Is open source school software a realistic choice?

For a school with a technical person on staff, yes. Gibbon is GPL v3 licensed, runs on PHP and MySQL, and has a version 30 release with calendar and student alert modules.

Which systems are built for public school districts?

Infinite Campus states 3,400 districts, 46 states and 10 state agencies, with a district SIS and a statewide SIS product. PowerSchool states more than 60 million students in 90 countries and sells SIS, enrollment, special programs, communications and ERP.

What should I ask about student data privacy?

Ask where data is hosted, whether each customer has a separate database, how long backups are kept, and what happens to data after termination.
