Why buyers look past AppFolio

  1. Pricing comes only after a demo

    AppFolio's pricing page describes Core, Plus and Max but lists no amounts, and tells buyers to request a quote. Buyers who want to compare a per-unit number against Buildium or Yardi Breeze, which publish rates, have to book a sales call first.

  2. Core has a unit floor

    The pricing page states that Core carries a 50-unit minimum with a minimum spend, and that Plus and Max also have minimums. A landlord or a small manager with a few dozen doors is outside the target, whatever the software can do.

  3. Features and API sit behind plan tiers

    Per the pricing page, Plus adds API read access, advanced budgeting and affordable and student housing support, while Max adds Leasing CRM, Leasing Signals and read and write API access. A manager who needs data access or a leasing CRM pays for the top tier.

Its site presents a free platform with no monthly fees, setup costs or contracts. That removes the minimum-spend and demo steps entirely. It is built for owners managing their own rentals, so firms that need trust accounting, owner portals and enterprise support should test it carefully.

When AppFolio is still the right choice

Stay if you run 50 or more units across several property types and want one platform. AppFolio lists accounting with Plaid bank reconciliation, CAM tracking, online payments, marketing and leasing, maintenance, resident and owner portals, the Stack partner marketplace and its Realm-X AI. A manager already using those has little reason to rebuild accounting elsewhere.

What to expect when you switch from AppFolio

  1. Settle the accounting history first

    Trust accounting, owner statements and tenant ledgers are the hardest data to move. Agree a cutover date at month end, export the closing reports from AppFolio, and ask the new vendor in writing what it imports and what it only archives.

  2. Read the contract before you give notice

    AppFolio links separate terms for Core, Plus, Max and add-on services, but they did not render for us. Ask for the term length, notice period and data return process in writing before you commit to a new vendor's start date.

  3. Rebuild integrations and portals

    Tenants and owners log in to a new portal, and anything wired through AppFolio Stack needs a replacement. List each connected service, check whether the new vendor's API tier covers it, and tell owners and residents about the change before the first rent cycle.

What is the minimum number of units for AppFolio?

Core carries a 50-unit minimum plus a minimum spend, according to AppFolio's pricing page. The page says minimums also apply to Plus and Max but does not state the numbers.

Does AppFolio publish its prices?

No. The pricing page names Core, Plus and Max and says exact pricing comes from a quote tailored to portfolio size and needs. Buildium, Yardi Breeze and DoorLoop publish rates, which makes side-by-side comparison easier.

Which AppFolio plan includes API access?

Plus lists API read access and Max lists read and write API access. Core does not list API access on the pricing page, so a manager who needs data in another system should confirm the tier before signing.

Can I export my data from AppFolio?
