Staffbase alternatives: 12 compared

Communications teams look past Staffbase when they want a price before a sales call, when a rollout that the vendor puts at around 90 days is too heavy, or when the platform is wider than the job. Most move to Firstup or Simpplr for enterprise scale, to Blink or Workvivo for a phone-first app, or to ThoughtFarmer for published rates.

Short answer: The closest replacements for Staffbase in our intranet and employee communication software ranking are Firstup, Simpplr and LumApps. Choose Firstup if you run a large multi-channel comms program and the intranet is secondary. All 12 alternatives below are ranked products from Best Intranet & Employee Communication Software in 2026, and each says where it differs from Staffbase and when Staffbase is still the better choice.

Visibility in our rankings can be paid for. Payment moves a vendor's position within the shortlist; it never adds a vendor, and it never changes a word of the review or of this page. The first three alternatives go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow in their ranked order. Staffbase at a glance

  • Pricing model: Quote only

Why buyers look past Staffbase

  1. No price without a conversation

The pricing page states that Staffbase publishes no price list, because a published price would be wrong for most organizations. Cost is shaped by workforce composition and scale, and a quote starts with a call. A buyer who needs a number for a budget meeting cannot get one alone.

  2. A multi-channel suite for one channel

The platform spans intranet, employee app, email, headless CMS, digital signage and AI modules. The pricing FAQ says many customers start with one channel and add others. A team that only needs an app or only a news site may pay for scope it will not use.

  3. Rollout is a project, not a signup

The pricing page gives 90 days as the typical time from signed contract to a fully branded launch, depending on configuration, and 3 to 5 business days for a proposal after a first call. Smaller teams that want to start in a week will find that pace slow.

What each alternative does differently

1. Firstup

Intelligent workforce communication platform across app, email and intranet · United States

The nearest rival on multi-channel delivery to app, email and intranet. Pricing is quote-only across three named tiers, so the cost route is the same as Staffbase. The intranet is a separate add-on rather than the core, which suits comms-first programs more than knowledge hubs.

Switch from Staffbase if you run a large multi-channel comms program and the intranet is secondary.

Pricing: Quote-only across three named tiers (Essential, Professional, Premier), with the employee intranet sold as a separate add-on; no published per-user figures and no free trial. (none)

2. Simpplr

AI-powered intranet for enterprise communications and search · United States

An intranet with AI search and personalized feeds at the center. It is quote-only, with volume discounts above 500 employees and a limited-capacity trial on request. Frontline mobile depth is lighter than at Staffbase, so it fits desk-heavy enterprises better than shift workforces.

Switch from Staffbase if your workforce sits mostly at desks and you want search and personalization first.

Pricing: Quote-only, tailored to organization size, complexity and support level, with volume discounts for organizations above 500 employees; a 14-day trial is available on request but capacity is limited. (free trial)

3. LumApps

AI-powered employee hub, now combined with Beekeeper's frontline platform · France

A French hub with deep Google Workspace integration, now being combined with Beekeeper's frontline platform. That merger is described as a multi-phase transition, so the unified product is not finished. Pricing is quote-only with no calculator, as at Staffbase.

Switch from Staffbase if you run Google Workspace and want one hub covering corporate and frontline staff.

Pricing: Quote-only; no published per-user figures and no self-serve pricing calculator on the public site. (none)

Full review: #8 of 17 in our ranking · Visit LumApps →

4. Unily

Enterprise intranet and employee experience platform · United Kingdom

A UK enterprise intranet aimed at organizations above 1,000 employees that want heavy branding. Pricing follows size, integrations and deployment, and the vendor promises contact within 24 hours. Design freedom can lengthen implementation compared with a template-based product.

Switch from Staffbase if you want a highly branded intranet and accept a long implementation.

Pricing: Quote-only, based on organization size, capabilities, integrations and deployment complexity, with the company promising contact within 24 hours of a pricing request; no free trial. (none)

Full review: #9 of 17 in our ranking · Visit Unily →

5. Workvivo

Social-style employee experience app, owned by Zoom · Ireland

A social-feed employee app owned by Zoom, with chat and video through that integration, recognition and a frontline mobile app. There is no trial, only demos. It is weaker where a structured document and policy library is the main job.

Switch from Staffbase if you want a social-style app that staff use daily and already use Zoom.

Pricing: Quote-only, based on the number of licences required and organizational needs; no free trial, demos only. (none)

Full review: #10 of 17 in our ranking · Visit Workvivo →

7. Powell Software

Governed intranet and knowledge layer built on top of Microsoft 365 · France

A French governed layer built on Microsoft 365 and SharePoint, with approval workflows and compliance-oriented document controls. It is only as useful as the underlying tenant and gives little to Google Workspace shops. Pricing is quote-only and no trial is offered.

Switch from Staffbase if you standardize on Microsoft 365 and need governed SharePoint-based content.

Pricing: Quote-only; the company states it serves over 550 organizations and is a Microsoft Gold and co-sell certified partner, but does not publish per-user rates or a free trial. (none)

Full review: #16 of 17 in our ranking · Visit Powell Software →

8. Interact Software

AI-native employee experience platform for intranet, comms and HR content · United Kingdom

A UK platform for intranet, comms and HR content, standardized on Microsoft 365. Mobile apps and premium support are priced as add-ons, so the final total depends on what you add. It is quote-only with no trial, like Staffbase.

Switch from Staffbase if you are a mid-market Microsoft 365 shop that wants HR content and governance.

Pricing: Quote-only, tailored to workforce size and the scope of employee experience features required; optional add-ons for branded mobile apps and premium support are priced separately. (none)

9. Happeo

AI-powered intranet built for companies on Google Workspace · Netherlands

A Dutch intranet built around Google Workspace, with AI knowledge search and a policy hub. It offers a self-serve free trial from the site, though pricing in three tiers still comes through a demo. Smaller than Staffbase in scale and channels.

Switch from Staffbase if you are a smaller Google Workspace company that wants to trial before a sales call.

Pricing: Tiered plans (Starter, Growth and Enterprise) with no published per-user figures; pricing is obtained by booking a demo, and a self-serve free trial is offered from the site. (free trial)

Full review: #15 of 17 in our ranking · Visit Happeo →

10. ThoughtFarmer

Intranet software with published per-user pricing and a 90-day guarantee · Canada

A Canadian intranet with published monthly per-user tiers, falling as the user count rises, and a quote only above 1,000 users. It has approval workflows and multi-language support. Frontline targeting and mobile polish are thinner than at Staffbase.

Switch from Staffbase if you want a published per-user price and a document-centered intranet.

Pricing: Published tiered per-user monthly pricing, from $12 per user at 50-99 users down to $6 per user at 500-999 users, with an enterprise license by quote above 1,000 users. (free trial)

11. Zoho Connect

Low-cost intranet and employee network, with a permanent free plan · India

An Indian vendor with a permanent free plan and paid tiers starting at 25 or 10 users. It offers a feed, groups, town halls and a knowledge base. The design is plain and AI is less prominent, so it replaces a channel mix only for small teams.

Switch from Staffbase if you are a small team, use Zoho apps and want a free tier.

Pricing: Tiered plans (Starter from 25 users, Enterprise and Ultimate from 10 users) with a permanent free plan that a trial account automatically converts to after the trial period ends. (free plan)

12. Speakap

Employee app and social intranet for frontline teams, sold in three quoted tiers · Netherlands

A Dutch employee app for hourly and frontline teams in retail, hospitality, construction and logistics, sold in Basic, Premium and Premium Plus with no published amount. The branded app, single sign-on and translation start at Premium. It is the narrowest option here for desk-based work.

Switch from Staffbase if your staff are shift-based and you want one branded app, accepting a quote.

Pricing: Quote-only in three tiers (Basic, Premium, Premium Plus); the pricing page lists what each tier contains but no amount, unit or trial. (none)

Full review: #17 of 17 in our ranking · Visit Speakap →

When Staffbase is still the right choice

Stay with Staffbase when the workforce is large and mixed, with frontline staff who have no corporate email and desk staff on the same platform. The vendor lists EU, US and Australian hosting, Microsoft Azure Marketplace purchasing that counts toward an Azure commitment, and channels beyond the intranet. If the contract is signed and adoption is working, a move adds cost without a clear gain.

What to expect when you switch from Staffbase

  1. Ask for exports in writing before you decide

The public pages we could read do not say which export formats Staffbase offers for posts, pages and analytics, and the master subscription agreement is published only as a PDF we could not read in full. Ask for a written list of export formats, the deletion timeline and the notice period for non-renewal before you sign anything new.

  2. Expect a project with a plan

Staffbase puts its own launch at around 90 days from signature. A replacement from the same class of vendor will take a similar time, so run the old and new platforms side by side. Reconnect identity, HR data feeds and Microsoft 365 or Google connections early, because these decide who can log in.

  3. Frontline reach is the part that breaks

Staffbase builds for staff without corporate email and for shift-based access. A desk-first intranet may not reach those staff by default. Test sign-in for a sample of frontline employees in a pilot before the old app is switched off.

Questions and answers

Does Staffbase publish its prices?

No. The pricing page says the company publishes no list because a price would be wrong for most organizations, and quotes depend on workforce composition and scale. It says most teams talk to sales within 48 hours of a request, and a proposal follows in 3 to 5 business days after a first call.

How long does it take to launch Staffbase, and a replacement?

Staffbase states a typical 90 days from signed contract to a fully branded launch, depending on configuration. We would plan a similar window for a replacement, longer for a multi-region rollout, because identity and HR feeds have to be rebuilt on the new platform.

Where does Staffbase host customer data?

Customers can choose EU hosting in Frankfurt, US hosting in Virginia (and Oregon for the email classic product), or Australian hosting, on Microsoft Azure and Amazon Web Services. A new vendor needs the same choice written down, because region affects data protection reviews.

Which legal entity runs Staffbase?

The site notice names Staffbase SE, registered in Chemnitz, Germany, at the Chemnitz commercial register under HRB 36810. Check this name on any contract, notice letter or data processing agreement that you send.

Does Staffbase offer a migration tool for leaving Workplace from Meta?

Staffbase's Workplace alternatives page names no automated migration tool. It describes a waived onboarding fee for Workplace customers who signed during 2025, consulting sessions and customized migration services through regional consulting partners. Ask what content types transfer.

What does Staffbase say about AI and customer data?

Staffbase states that AI features can be turned off at any time, that prompts and outputs are not shared, and that the features follow the EU AI Act. A replacement should give the same commitments in writing before it handles employee content.
