Why buyers look past Freshservice

  1. ITIL processes start at the top self-serve tier

    On Freshworks' pricing page, Starter at $19 per agent a month covers incident, knowledge and task management. Growth at $49 adds the service catalog and SLAs. Problem, change, release and major incident management only arrive with Pro at $99, all billed annually.

  2. AI and asset capacity are priced beyond the plan

    Freddy AI Copilot is a $29 per agent a month add-on below Enterprise. Growth and above include the IT asset package with 100 asset units, and extra units are sold in packs of 500 at additional cost. The seat price is therefore not the whole bill.

  3. Renewal reopens the price

    Under the Freshworks Terms of Service, plans auto-renew at the same users and plan unless a party gives 30 days' written notice of non-renewal or downgrade. Fees are adjusted on renewal with 30 days' notice, and earlier discounts or price protections do not carry over.

A quote-only platform sold by module, with no published price list; we could not reach servicenow.com from our fetch tools, so nothing on its pages was checked. Listed because it is the obvious name for larger estates; verify scope and licensing with the vendor before shortlisting it.

Enterprise service management from BMC, which lists a Request Pricing button on its home page instead of a rate card. Its Helix product pages blocked our fetch, so scope and tiers are not verified here. Expect a sales-led purchase rather than a self-serve trial.

When Freshservice is still the right choice

Freshservice is the right choice when you want ITIL change and problem processes without a long implementation. Pro at $99 includes both, the service catalog and release management, and the trial runs 14 days with no card. It also bundles an IT asset package, MSP mode and a Teams and Slack bot. If you stay below Pro, the cost is easy to predict.

What to expect when you switch from Freshservice

  1. Export while the account is open

    Admin, Account has an Export button that emails the whole service desk as XML; the help article is from 2021, so test it first. Analytics, Settings, Data Exports schedules recurring exports by module. After closure, the Terms make data available for export for 14 days.

  2. Plan for the API ceiling

    Freshservice's API documentation sets a per-minute limit by plan: 100 calls on Starter, 200 on Growth, 400 on Pro and 500 on Enterprise, with page sizes up to 100. A large ticket archive pulled through the API can take hours on a lower plan. Schedule it before you downgrade.

  3. Give notice before the term ends

    A notice of non-renewal or downgrade must reach Freshworks 30 days before the term ends, or the plan renews for the same period. Payment obligations are non-cancelable and non-refundable under the Terms, so time the cutover to the end of the paid term.

Questions and answers

How do I export my data from Freshservice?

An admin opens Admin, Account and clicks Export, which emails the full service desk in XML format. Scheduled exports by module are under Analytics, Settings, Data Exports. Tickets, changes and assets also have their own export routes in the help center.

How long can I get my data after closing Freshservice?

For 14 days from the closure date, under the Freshworks Terms. During the subscription you can download or delete it at any time. A free trial that ends without export loses its data permanently, so export before either date.

How much notice does Freshservice need to cancel?

Thirty days in writing before the subscription term ends, for non-renewal or downgrade. Otherwise the plan renews at the same users and plan for a period equal to the previous term. Your order form can set different terms.

Will my price change when Freshservice renews?

It can. Freshworks may adjust fees on renewal and must notify you at least 30 days beforehand. The Terms also say that discounts or price protections granted earlier will not apply to renewal terms.

Is the Freshservice API limited?

Yes, per minute and by plan: 100 calls on Starter, 200 on Growth, 400 on Pro and 500 on Enterprise for accounts created after September 2020, with some operations subject to sublimits. Plan large extractions around that ceiling.

What does Freshservice charge for AI and assets on top of the plan?

Freddy AI Copilot is $29 per agent a month as an add-on, and Enterprise includes Freddy AI Agent. Growth and above include 100 asset units; more units come in packs of 500, and upgraded asset functionality costs extra.
