Salesforce Service Cloud alternatives: 13 compared

Teams leave Service Cloud when the edition ladder, the success-plan surcharge and the renewal terms cost more than the support work justifies, or when they do not run Salesforce CRM at all. Most go to Freshdesk, Zendesk or Zoho Desk for a like-for-like desk, and to Zammad or Deskpro when hosting control matters.

Short answer: The closest replacements for Salesforce Service Cloud in our help desk software ranking are Freshdesk, Zendesk and Zoho Desk. Choose Freshdesk if you want published per-agent prices and a desk that one admin can configure. All 13 alternatives below are ranked products from Best Help Desk Software in 2026, and each says where it differs from Salesforce Service Cloud and when Salesforce Service Cloud is still the better choice.

Visibility in our rankings can be paid for. Payment moves a vendor's position within the shortlist; it never adds a vendor, and it never changes a word of the review or of this page. The first three alternatives go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow in their ranked order. Facts from our help desk software ranking, last checked October 22, 2026.

Why buyers look past Salesforce Service Cloud

  1. Four steps from $25 to $550 a user

The pricing page lists Starter Suite at $25 and Pro Suite at $100 a user a month, then Core at $195, Advanced at $395 and Max at $550, billed annually. Pro Suite requires a contract. A team that outgrows the suite jumps to a different product line.

  2. Support and add-ons raise the bill

The Premier Success Plan is listed at 30% of net license fees. Enhanced Messaging is shown at an additional $75 a user a month, and workforce and quality management are marked as available for purchase. Max bundles the AI suite; lower editions do not.

  3. Renewal terms favor the vendor

The Main Services Agreement renews subscriptions for one year unless either party gives written notice at least 30 days before term end. If volume or length falls at renewal, the contract re-prices without regard to the prior per-unit price.

What each alternative does differently

1. Freshdesk

Ticketing and automation at a moderate price, chat in Omni · United States

A ticket-first desk with three published tiers, $19, $55 and $89 per agent a month on annual billing. Its AI Agent bundles the first 500 sessions, then $49 per 100. Nothing here models contracts or custom objects, so complex entitlement logic would need rebuilding in workflows.

Switch from Salesforce Service Cloud if you want published per-agent prices and a desk that one admin can configure.

Pricing: Per agent per month on published tiers, from $19 billed annually for email-centered Freshdesk or $29 for Freshdesk Omni with chat and social channels; 500 AI agent sessions are included once, then sold in packs of 100. (free trial)

2. Zendesk

The most complete help desk suite, priced for scale · United States

The closest suite-to-suite swap outside the CRM vendors. The Suite Team tier includes 5 automated resolutions per agent a month and Professional 10, with extra resolutions charged. Copilot is a separate add-on. It does not tie cases to opportunities the way a CRM platform does.

Switch from Salesforce Service Cloud if you want a standalone service suite with a large app marketplace and no CRM dependency.

Pricing: Per agent per month on published Suite tiers, with AI agent resolutions billed beyond a small monthly allowance per agent, and Copilot, workforce management and quality tools sold as add-ons. (free trial)

3. Zoho Desk

Low-cost ticketing tied into the Zoho suite · India

Four paid editions plus a free edition for three agents, and a 15-day trial without a card. Telephony, blueprints and Zia AI begin on Professional. Enterprise includes 50 free light agents. The vendor page showed only rupee prices when we read it, so compare quotes in your currency.

Switch from Salesforce Service Cloud if you want a per-agent desk with a free entry edition and light-agent seats.

Pricing: Free plan for a few agents, then low per-agent tiers billed annually, well under Zendesk at every level. (free plan)

4. Zammad

Open-source help desk, self-hosted or hosted in Germany · Germany

Open source under AGPL-3.0, with hosted plans in German data centers at €7, €16 and €25 per agent a month on annual billing. Self-hosted support contracts start at €2,999 a year. You trade Salesforce's customization for a smaller feature set and your own upgrades.

Switch from Salesforce Service Cloud if you want an open-source desk and a say in where tickets are stored.

Pricing: Free to self-host under an open-source license; hosted plans per agent per month from under €10, published. (open source)

Switch from Salesforce Service Cloud if you need a regional data center or a private deployment and have at least five agents.

Pricing: Published per-agent cloud tiers from $39 a month for Team through Enterprise, each with a minimum seat count, plus a separately quoted Private edition for on-premises or dedicated hosting and discounts for nonprofits and education. (none)

7. HubSpot Service Hub

Support tools on a CRM of its own. Free tools cover two users, and paid tiers draw on monthly HubSpot Credits that do not roll over. Professional carries a $1,500 one-time onboarding fee and Enterprise $3,500. It replaces both the desk and the CRM, which is a larger migration.

Switch from Salesforce Service Cloud if you are leaving Salesforce CRM as well and want one replacement for sales and service.

AI-first support desk built around the Messenger · United States

Messenger-led, with seats on three tiers and its Fin agent billed at $0.99 per outcome with a minimum monthly commitment. The pricing page says Fin can run on top of an existing helpdesk, Salesforce among them, so you can add the AI before replacing the desk.

Switch from Salesforce Service Cloud if you want to try an AI agent on top of the current desk before a full move.

Pricing: Per helpdesk seat per month on published tiers, plus $0.99 per Fin AI outcome. (free trial)

When Salesforce Service Cloud is still the right choice

Service Cloud is still the right choice when cases must hang off Salesforce accounts, contracts and orders, and when you already employ administrators who maintain the org. Entitlements, milestones, custom objects and Max-level contact center tools have no counterpart in the lighter desks listed here. If the CRM stays, replacing only the desk usually splits the customer record.

What to expect when you switch from Salesforce Service Cloud

  1. Check the notice window first

The Main Services Agreement says subscriptions renew for one year unless written notice, email acceptable, reaches Salesforce 30 days before term end. Calendar that date against your order form, since an order form overrides the agreement. Pro Suite is sold on a contract and the larger editions annually.

  2. Use the Data Act route for the export

Salesforce's Data Act FAQ describes a 2-month notification period, then a 30-calendar-day transition period to export data, and a further 30-day retrieval period after termination. It says no specific fee applies, but early termination fees may if the term ends early. Without an account team, write to billing@emea.salesforce.com.

  3. Rebuild what the console did

Routing, entitlements, milestones and custom objects do not move as data. List each with an owner before cutover. Several alternatives here connect to Salesforce, such as Help Scout from its Plus plan and Hiver, which lets you keep CRM context while agents move.

Questions and answers

How much notice do I give to leave Service Cloud?

At least 30 days before the end of the current term, in writing, and email is acceptable, under the Main Services Agreement. Otherwise a subscription renews for one year. Your order form takes precedence over the agreement, so read it for a different notice period.

Will my price stay the same at renewal if I buy fewer seats?

No. The agreement states that a renewal with lower volume or shorter length is re-priced without regard to the prior per-unit price. Promotional or one-time prices renew at list price unless the order form says otherwise. Ask for renewal pricing in writing before you cut seats.

Can I get my data out when I leave?

Yes. Under the EU Data Act process, Salesforce says it supplies export instructions within a 30-calendar-day transition period after a 2-month notice period, then allows 30 days of retrieval after termination. We did not verify the self-service export tools, which sit behind its help portal.

Does leaving early cost me a fee?

Possibly. The Data Act FAQ says Salesforce charges no specific fee for a switching request, but early termination fees may apply if a fixed-term contract ends early. The agreement refunds prepaid fees only when the customer terminates for uncured breach.

Do I lose AI features if I drop to a cheaper edition?

Likely, yes. The pricing page lists the full Agentforce for Service suite as included in Max and as available for purchase in other editions, with credit use. Check which AI features your current order form actually covers before comparing against alternatives.

Is there a Service Cloud edition cheaper than Core?

Yes, Starter Suite at $25 a user a month, billed monthly or annually, and Pro Suite at $100 on an annual contract. Both are CRM suites rather than the dedicated service editions, so check the feature table for case management depth.
