Why buyers look past Zendesk

  1. Seat price plus AI add-ons make the bill hard to predict

    Zendesk lists Support Team, Suite Team and Suite Professional per agent per month. On top, each plan includes a small number of automated resolutions (5 per agent per month, 10 on Suite Professional), and extra ones cost 1.50 or 2.00 euros each. Copilot features and QA are add-ons.

  2. Useful features sit in the higher tiers

    Quality assurance on the pricing page requires the QA add-on, and Copilot features such as Auto assist, triage and admin tools are marked add-on across the plans shown. Teams that wanted a ticket queue and a help center can end up paying for a platform they only partly use.

  3. Annual terms renew unless you give notice

    Zendesk's main services agreement renews the subscription for an equivalent period unless either party gives 30 days' written notice, sent by email to the address it names. Buyers who miss the window are tied in for another term, which is a common reason for leaving at renewal time.

When Zendesk is still the right choice

Zendesk is still the right choice when you need one platform for tickets, messaging, voice, a help center and AI agents, and you have an admin to run it. It lists more than 1,800 marketplace apps, and its Suite plans cover most channels in one product. If your volume and team size are growing, moving may cost more than it saves.

What to expect when you switch from Zendesk

  1. Export through the API, within the term

    Zendesk's agreement lets you export service data during the subscription and for 30 days after it ends. Its Incremental Export API covers tickets, is limited to admins, and allows 10 requests per minute, so a large archive takes time. Start the export well before the end date.

  2. Plan for what does not move

    Importers copy tickets, users and organizations, but not your configuration. Zammad's Zendesk importer, for example, does not support differential migrations, does not carry over user passwords, and runs at the speed of your Zendesk plan's API limits. Triggers, macros and help center design need rebuilding by hand in most tools.

  3. Run both for a short overlap

    Keep Zendesk running until the new tool receives live mail and the old queue is empty. Check the notice date in your agreement first, because a renewal in the middle of a migration costs a full extra term.

Questions and answers

Can I export my data from Zendesk before I leave?

Yes, the agreement lets you export service data during the subscription and for 30 days after it ends. Tickets can be pulled through the admin-only Incremental Export API at 10 requests per minute. Data deleted under Zendesk's deletion policy is not covered, so export early.

How much notice does Zendesk need to cancel?

At least 30 days before the end of the current term, in writing. The agreement says to send a notice to revops@zendesk.com. Without that, the subscription renews for an equivalent period, unless your order form says otherwise, so check the order form too.

Will my tickets and knowledge base transfer to another tool?

Usually tickets, users and organizations transfer, and configuration does not. Zammad's importer, for example, reads them through the Zendesk API with an admin token. Help center articles are exposed through the Help Center API, but formatting and automation rules often need rebuilding.

Does Zendesk charge extra for AI resolutions?

Yes, beyond an included allowance. Each plan includes 5 automated resolutions per agent per month (10 on Suite Professional), and extra ones are sold at 1.50 euros committed or 2.00 euros pay-as-you-go. Compare that against Fin at $0.99 per outcome or Help Scout at $0.75 per resolution.

Is there a cheaper plan if I only need email tickets?

Yes, Support Team starts at 19 euros per agent per month billed annually or 25 euros billed monthly on the Dutch pricing page. Several alternatives start lower or free, such as Help Scout's free plan for five users and Zoho Desk's free edition for three.

Can I self-host instead of using a SaaS help desk?

Yes, with Zammad, which is open source under AGPL-3.0 and can be self-hosted at no license fee. Deskpro also lists a Private edition. Zendesk itself is sold as a hosted service.
