Why buyers look past Google Forms

  1. Analysis lives in Sheets

    Google says Forms shows automatic charts and that you can export the raw data to Google Sheets for deeper analysis. Research teams that need cross-tabs, weighting or panels move to a dedicated survey platform.

  2. Branding is limited

    Google's product page lists colors, images and fonts for customizing a form. Teams that need a custom domain, removal of Google chrome or white-label output look at form builders that sell this.

  3. Everything depends on a Google account

    Forms is sold as part of Google Workspace, and responders signed in to a Google Account get an automatic 30-day draft. A company that avoids Google or runs on Microsoft 365 or its own servers needs another tool.

A survey specialist. The Basic plan is free, but SurveyMonkey says it shows a limited number of responses and deletes older ones over the limit after 365 days when you downgrade. Paid plans count responses across surveys and charge €0.10 per extra response.

When Google Forms is still the right choice

Stay if your surveys are short, internal or educational and your organization already uses Google accounts. Forms saves responses to a Sheet, shows automatic charts, supports quizzes and logic, and is part of Google Workspace. If you do not need branding, panels or advanced analysis, a paid tool adds cost without much benefit.

What to expect when you switch from Google Forms

  1. Export responses first

    Google says Forms responses can be viewed as charts or opened in Google Sheets, and you can choose where responses are saved. Download the linked Sheet to CSV or Excel before you close the form, since links to the old form stop collecting.

  2. Rebuild logic and sharing by hand

    Forms do not carry across between tools. Recreate sections, branching and quiz scoring in the new tool, then replace the old form link in emails, QR codes and websites. Run both for a short period and compare completion counts.

Where does Google Forms store responses?

In Google Sheets. Google's help says forms created in Sheets save responses into a new sheet, and you can choose where responses are saved. Keep that spreadsheet when you move, because it is the record.

Can I export Google Forms responses?

Yes, by opening them in Google Sheets. Google's help says you can open the data in Sheets and other add-ons for deeper analysis. From Sheets you can download the data as a file in the formats Sheets offers.

Which Google Forms alternatives are free?

Tally has unlimited forms and submissions in its free plan, Typeform, Jotform and SurveyMonkey have free tiers, and Zoho Survey, SurveySparrow, Paperform and Survicate do as well. Formbricks and LimeSurvey can be self-hosted.

Which alternative suits a Microsoft 365 organization?

Microsoft Forms. It is Microsoft's own forms tool, and its page is titled as a free tool for online surveys, forms, polls and quizzes. We could not load the licensing details, so check which Microsoft 365 plans include it.

Is there a self-hosted alternative to Google Forms?

Yes. Formbricks has an AGPL core for self-hosting and LimeSurvey offers a free self-hosted edition. Both require you to run the server and keep it updated.

Do I need Google Workspace to use Forms?

Google's page presents Forms as part of Workspace and also mentions responders using a Google Account. We could not confirm from that page how a free personal account is priced, so check Google's current terms.
