Why buyers look past Xero

  1. The entry plan has volume caps

    On the US pricing page, Early costs $27 a month and covers quotes, 20 invoices and 5 bills. Growing is $59 and Established is $97. A business that sends more than 20 invoices a month moves up a tier within weeks of starting.

  2. Multi-currency sits on the top plan

    In the US, the plan list shows multiple currencies, project time and cost tracking, employee expense claims and cash flow forecasting of 180 days only under Established. Exporters and agencies billing abroad therefore pay the highest tier.

  3. Add-ons and a short discount

    Payroll runs through Xero Payroll, powered by Gusto, and Inventory Plus is an optional add-on. The pricing page also advertises 80% off for the first three months, so the first bills understate the full monthly price.

Switch from Xero if you want a modular ledger and are comfortable buying extra apps.

Mid-market ERP, not a small-business ledger. Microsoft lists Essentials at $80 and Premium at $110 per user per month paid yearly, plus an $8 Team Members license, and directs buyers to a partner. Expect implementation, and more process than Xero requires.

Switch from Xero if you have outgrown a ledger and need a full ERP with a partner.

A single-plan product aimed at sole proprietors and small owners. Its site lists unlimited invoices and users, bank feeds, multi-currency and a 14-day trial, and also promotes TrulySmall, a newer product. The pricing page we read showed a single $0 plan, which may not match what a new customer pays, so confirm cost first.

11. Sage Intacct

Finance-department software sold through Sage or a partner, rather than a self-serve plan with a published monthly price. It targets multi-entity organizations, not a founder doing the books. We could not load Sage's own pages this session, so confirm scope and fees with Sage.

Switch from Xero if your finance team needs multi-entity financials and you accept a sales-led purchase.

When Xero is still the right choice

Xero is the right choice when several people touch the books and per-user fees would sting. Its plans carry no per-user license fees, it advertises more than 1,000 connected apps, and it runs a partner program for accountants, so your bookkeeper probably already knows it. If your invoice volume suits the Growing plan and you do not need multi-currency, staying avoids a migration.

What to expect when you switch from Xero

  1. Export before you terminate

    The Xero terms say a terminated subscription is archived and retained under its data retention policy, and you can reactivate it by paying the fees. Treat that as a fallback, not a plan: export reports and lists while the subscription is active.

  2. Connected apps and payroll move separately

    Third-party apps in the Xero App Store carry their own pricing and refund terms, per the Xero terms. In the US, payroll is the Gusto-powered Xero Payroll add-on. Each connected app and payroll arrangement needs its own cancellation and its own replacement.

Questions and answers

Can I export my data from Xero?

Yes. Xero Central describes exporting chart of accounts, contacts, invoices, bills and report data, with reports downloadable as Excel or CSV. Run the exports before you cancel, because a terminated subscription is archived and no longer available to you.

What happens to my Xero data if I cancel?

The subscription is archived and the data is no longer available to you. Xero keeps it for a period under its data retention policy, and you can reactivate by paying the subscription fees. Xero does not publish a fixed day count in its terms.

How much does Xero cost in the US without the introductory offer?

On the US page, Early is $27, Growing $59 and Established $97 a month. Introductory pricing takes 80% off for three months. Pricing plans can be updated, and the terms promise 60 days' notice of material changes to the terms.

Does Xero charge per user?

No. The US page states there are no per-user license fees. Costs rise by plan tier instead, and by add-ons such as Inventory Plus and Xero Payroll, so a switch to per-user software can cost more for a large team.

Which Xero plan includes multi-currency?

On the US pricing page, multiple currencies appear only in the Established plan at $97 a month. Early and Growing do not list it. A business that invoices abroad should price Established before comparing.

Xero Limited is a New Zealand company. The terms list Xero (NZ) Limited at 19 to 23 Taranaki Street, Wellington, and Xero, Inc. in San Mateo, California as the US contracting entity, with California law applying for US subscribers.
