Notion vs Asana

Notion is documents and databases that someone on the team assembles into a project tracker. Asana is a finished work management product with task ownership, portfolios, goals and a workload view already in place. Small teams that write everything in Notion can stay there; companies coordinating dozens of projects across functions are better served by Asana.

Choose Asana if

you need clear single-owner tasks, portfolio status across many projects and workload views without building any of it, and you can budget for the Advanced tier.

Where they differ

Assembled tracker or finished product

Notion gives you Projects and Sprints templates, relations and rollups, then leaves the design to you, so the tracker is only as good as the person who built it. Asana arrives with its structure decided: a task, one assignee, a date, and rules that automate handoffs with little training. For project tracking as such, Asana needs far less invention.

Edge: Asana

Keeping documents beside the tasks

This is Notion's reason for existing in this category. Specs, meeting notes and the task database share one linked space, and relations tie a task to the document it depends on. Asana's entry is about tasks, portfolios and goals; it lists no document workspace of its own. If context matters more than scheduling, Notion has the edge.

Edge: Notion

Seeing across projects and people

Asana's portfolios show status across a dozen projects at once, goals link that work to company objectives, and a workload view covers capacity. In Notion, workload and capacity views are weak, cross-project reporting needs clever rollups, dependencies are basic and large databases get sluggish. A manager above the team level gets more from Asana.

Edge: Asana

How each one charges

Both have a free plan and bill per person per month. Notion's tiers are Plus, Business and Enterprise, with the fullest AI features on Business. Asana sells Starter and Advanced seats in bundles, which can mean paying for unused licenses, and holds portfolios and workload for Advanced. Which costs less depends on headcount and the tier you need.

Edge: even

Tally: Notion 1, Asana 2, even 1.

When neither fits

Neither suits a firm delivering client work that needs scheduling discipline, time against budgets and a client view. Notion's row-level permissions complicate client access, and Asana's time tracking and budgets are basic. Teamwork.com puts time, budgets and client access in one product.

Questions and answers

Can Notion replace Asana for project management?

For a small team with light scheduling needs, yes, provided someone designs the databases well. It falls short once you need workload planning, reporting across projects or more than basic dependencies. Those are the areas Asana covers out of the box, though partly on its Advanced tier.

Is Notion or Asana better for a startup?

A startup under about thirty people that already writes in Notion can add project tracking there and avoid another tool and login. If the company expects to coordinate many teams soon, Asana's structure scales further, and it is aimed at fifty to five hundred people.

Do Notion and Asana both include automation and AI?

Both list them. Notion has database automations and Notion AI, with the fullest AI features on the Business tier, and its automation is lighter than dedicated tools. Asana has rules automation and AI Studio workflows. Our data does not compare the two AI features directly.
