Proposal and quote-management software · 11 alternatives

Proposify alternatives: 11 compared

Teams look past Proposify when the send counter, the jump to a $12,800 annual platform fee for SSO and multiple workspaces, or a plan table that no longer matches its own page starts to shape how they sell. Most go to Qwilr or Better Proposals for the same job, Offorte for a low flat price, and GetAccept for a sales-room workflow.

Short answer: The closest replacements for Proposify in our proposal and quote-management software ranking are Qwilr, Better Proposals and Offorte. Choose Qwilr if you want unlimited interactive pages and in-document payments instead of a monthly send count. Each of the 11 options is a ranked entry in Best Proposal & Quote Management Software in 2026; the notes explain how it differs from Proposify and where Proposify still wins.

Visibility in our rankings can be paid for. Payment moves a vendor's position within the shortlist; it never adds a vendor, and it never changes a word of the review or of this page. The first three alternatives go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow in their ranked order. How it works: placement disclosure · editorial process.

Proposify at a glance

  • Headquarters: Canada
  • Pricing model: Per user / month, capped sends
  • Free option: Free trial
  • Built for: Small agencies and sales teams that send a handful of proposals a week
  • Wrong for: A solo freelancer sending one proposal a month is paying for send allowances and team features built for a sales team; Better Proposals' Starter tier costs less. A team that wants deal tracking and e-signature bundled into a broader sales workspace should look at GetAccept instead.
  • Place in our ranking: #4 of 12
  • Website: proposify.com

Why buyers look past Proposify

  1. Sends are counted, and the page shows two plan schemes

The pricing page lists Build, Grow and Scale, while a send table below it still names Basic, Team and Business with 10, 30 and 75 included sends and overage of $0.50, $0.30 and $0.75. Ask for the current send rules in writing before you sign.

  2. Control features sit one tier up

Roles, approval workflows, custom fields and API access start on Grow at $65 per user a month billed annually. SSO, multiple workspaces and custom reporting need Scale, which carries a $12,800 yearly platform fee covering 10 users.

  3. Renewal terms favor the vendor

The terms say the subscription renews automatically, cancellation takes effect at the end of the paid period, and no part of the fee is refunded. Seat reductions apply only at renewal, and a price change needs just 14 days of notice.

What each alternative does differently

1. Qwilr

Australia

Replaces the editor with a scrollable web page and runs its own payment collection on Stripe. Pages are unlimited on every tier, so no send meter exists. Growth and Scale carry seat minimums, and the interactive format changes how documents look to a buyer.

Switch from Proposify if you want unlimited interactive pages and in-document payments instead of a monthly send count.

2. Better Proposals

United Kingdom

A London-registered editor whose pricing page lists signatures, payment integrations, a content library and unlimited templates on every plan. CRM links, a custom domain and API access start on Premium. Elite is a managed design service sold per user, with a ten-user minimum.

Switch from Proposify if you want a cheaper per-user entry tier with payments and signatures from the first plan.

Vendor website → · Detailed Better Proposals write-up

3. Offorte

Netherlands

Built by Dvotion B.V. in Breda. The subscription does not renew on its own and stops at the end of the paid period. Standard serves one user, Premium is bought in groups of five. Hosting is described only as secure servers in Amsterdam.

Switch from Proposify if you want a subscription that stops by itself and unlimited sending at a flat price.

Vendor website → · Detailed Offorte write-up

4. GetAccept

United States

Wraps the document in a digital sales room with mutual action plans, tracking and contract management. The vendor lists SOC 2, GDPR and eIDAS on its pricing page, plus an MCP server. The Professional plan needs five seats on annual billing.

Switch from Proposify if you sell to buying committees and want a shared deal room around the proposal.

Vendor website → · Detailed GetAccept write-up

5. Nusii

Spain

Madrid-based and sized for solo consultants and small agencies. Plans cap active proposals at 5, 20 or 50 rather than counting sends, each with a 14-day trial. Payments, CRM links and a custom domain start on the Agency plan.

Switch from Proposify if you run a one to five person service business and prefer a cap on open proposals to a send meter.

Vendor website → · Detailed Nusii write-up

6. Sellsy

France

A French CRM and invoicing suite where quoting is one module, so an accepted quote converts to an invoice in one click. It cannot be bought as a quote editor alone, and every plan has a two-user minimum and a 12-month commitment.

Switch from Proposify if you also need a CRM and want accepted quotes to become invoices without leaving the tool.

Vendor website → · Detailed Sellsy write-up

7. Simplicate

Netherlands

A Groningen suite for service firms with a quote editor next to hours, projects and HR. Won work becomes a project in the same system. Each tier adds a monthly base licence, so a two-person firm that only quotes pays for far more than it uses.

Switch from Proposify if you are a consultancy that wants quotes, project hours and invoices in a single system.

Vendor website → · Detailed Simplicate write-up

8. QuoteWerks

United States

Quoting software from Orlando with a configure-price-quote engine, billed per concurrent user rather than per named seat. Aimed at resellers and managed service providers. Its quote layout is line-item work, not a visual narrative document.

Switch from Proposify if you quote product catalogs with distributor feeds and need price lists more than page design.

Vendor website → · Detailed QuoteWerks write-up

9. Foleon

Netherlands

An Amsterdam platform for interactive branded documents in which proposals are one use among decks and microsites. Brand Kit and reviewer tooling target marketing departments. All four tiers are quote-only, and the plan features show no signature or quote table.

Switch from Proposify if your marketing team owns proposal design and needs brand governance across every document.

Vendor website → · Detailed Foleon write-up

10. Loopio

Canada

A Toronto answer-library product for teams that reply to the same tenders and security questionnaires repeatedly. It drafts first responses from stored answers rather than building a priced offer. Pricing is by quote, with no self-serve trial.

Switch from Proposify if most of your documents answer formal RFPs and questionnaires, not one-off sales quotes.

Vendor website → · Detailed Loopio write-up

11. Xait

Norway

Stavanger co-authoring software, XaitPorter, for tender responses written by dozens of people at once, with automatic numbering and section change logs. Quoting is a separate product, XaitCPQ. Every engagement starts with a demo.

Switch from Proposify if large teams co-write long tender responses and need numbering, version history and role permissions.

When Proposify is still the right choice

Proposify remains the better pick when your team sends a steady number of documents, wants the approval workflow, product catalog and custom reporting in a single editor, and needs a named SOC 2 Type 2 report. The vendor offers that report on request, which several rivals do not publish. If the current send rules suit your volume, the switch costs more than it saves.

What to expect when you switch from Proposify

  1. Rebuild templates and keep the content

Templates, sections and the content library live inside Proposify, and the pages we checked offer PDF export per document plus a CSV of documents on Scale. Plan a template rebuild in the new editor and list the sections worth carrying over before you cancel.

  2. Time the cancellation to the term

Cancellation ends access only when the paid period ends, with no refund for the remainder. Open proposals that clients already received remain viewable during a trial per the FAQ, so finish open deals first, export signed copies, then cancel before the renewal date.

Questions and answers

Can I export my signed proposals from Proposify?

Yes for single documents: the plan comparison lists PDF export for every document, and both parties receive electronic copies of the signed document. A CSV of document data is described for the top tier. We found no page describing a bulk export of all signed files, so ask support before cancelling.

Does Proposify renew automatically?

Yes. The terms state the subscription renews at the end of the term unless you cancel first, and cancellation takes effect when the current period ends. The vendor does not refund the remaining portion of the fee. Cancel ahead of the renewal date to avoid another term.

How much notice does Proposify give for a price increase?

At least 14 days. The terms say a new price applies after the current term expires, and that continued use counts as acceptance. If you object, the route is to terminate under the termination section. Check the notice date against your renewal date.

Where does Proposify store my documents?

The security page says all customer data is stored in Northern Virginia, USA, hosted on Amazon Web Services. It also states a GDPR commitment and a data processing addendum. A buyer with EU residency rules should check that against Offorte, which describes servers in Amsterdam.

Does Proposify have a SOC 2 report?

Yes. The security page says it is SOC 2 Type 2 certified against the Trust Services Criteria for security, availability and confidentiality, audited by 360 Advanced, and the report is available on request. Ask any replacement for the same document before you migrate.

What breaks when I move my CRM links?

The native connections to your CRM, invoicing and payment tools are set per account, so they must be recreated. Proposify lists dozens of integrations including HubSpot, Salesforce, Pipedrive and QuickBooks. Check that each target tool supports the same CRM before you cancel.
