Why buyers look past Wrike

  1. Seats are sold in groups

    Wrike sells subscriptions in groups of five up to 30 seats, groups of ten from 30 to 100, and groups of 25 above that. Business and above are annual only, and online purchase covers up to 15 users without add-ons. Larger teams talk to a representative.

  2. Planning and security sit on quoted tiers

    Resource and capacity planning, budgeting and advanced reporting are listed under Pinnacle, which is quoted. Wrike's help center shows SAML single sign-on only on Pinnacle and Apex, not on Free, Team or Business. Team is capped at 15 users, Business at 200.

  3. Add-ons on top of the plan

    The pricing page lists Whiteboard at $15 per user per month, plus Integrate, Two-Way Sync, Datahub, Wrike Lock and AI Elite action packs at custom prices. It also says pricing and packaging apply to new purchases from January 21, 2026 and may change.

When Wrike is still the right choice

Stay with Wrike if you run request intake, approvals and proofing for marketing or creative teams and need budgeting and resource planning on one platform. Wrike lists dynamic request forms, proofing, guest approvals and interactive Gantt, hosts European accounts in Paris, and holds SOC 2 Type II and ISO 27001 certifications.

What to expect when you switch from Wrike

  1. Count seats the Wrike way

    Wrike counts external users as full users who need a paid seat, while limited contributors are billed at a reduced rate and viewers are free. Sort your current accounts into those groups before you size seats and licences on a replacement.

  2. Rebuild integrations and intake

    If you use Wrike Integrate or Two-Way Sync, which links 22 systems including Jira and GitHub, the replacement must reach the same tools. Request forms with conditional logic and automation rules also have to be recreated by hand.

  3. Plan the exit around the renewal

    Business and above are annual subscriptions, so the practical window is the renewal date. Run the new tool in parallel for one cycle, export what you need, and only then cancel, because Wrike runs as cloud software only.

Questions and answers

Can I leave Wrike mid-term?

Business and above are sold only as annual subscriptions, so plan the exit around the renewal date. The pricing page states that rule, but we could not confirm the notice period, so ask your representative in writing.

Where is my Wrike data hosted, and does that matter when I move?

Accounts created from Europe are hosted in Wrike's Paris data center, and all other accounts in Santa Clara, California. If you have EU data residency needs, make the replacement vendor name its hosting region in the contract.

Can I export my data from Wrike?

Wrike has a REST API (version 4, OAuth 2.0) that supports reading and writing content, but we could not confirm built-in export formats from its public pages. Ask support which export covers tasks, comments and files.

Will external reviewers still count as paid seats on a new tool?

They do at Wrike, where external users are full users who need a paid seat, and limited viewers are free. Check how each alternative treats guests and proofing reviewers before you compare seat prices.

What do alternatives charge for Gantt compared with Wrike Team at $10?

Wrike's Team tier includes interactive Gantt. ClickUp starts Gantt on Unlimited at $7, monday.com on Standard, Asana on Starter and Zoho Projects on Premium. Check your seat count, since minimums differ by vendor.

Is there a self-hosted version of Wrike I could keep?

No. Wrike's pricing FAQ says it is entirely cloud-based, with no on-premise option. If self-hosting is a goal, you are looking for a different vendor, not another Wrike plan.
