Operates mainly in Europe and is authorized by the UK Financial Conduct Authority. Reimbursements and mileage are only on Build and above, where reimbursements carry a 0.90% processing fee. Vendor cards are capped by plan, at 15 on Build and 50 on Optimise, and Optimise adds cashback, budgets and HRIS integrations.

Travel-first. Navan Business is free for companies up to 300 employees and is funded by travel provider commissions, with expense free for the first five users and then $15 per user a month. The vendor says the free model is paid for by those commissions, so it fits companies that book travel. Enterprise is quoted.
Switch from Expensify if your team books a lot of business travel and wants expense bundled with the booking tool.

Questions and answers
What format can I export Expensify data in?
CSV only. Templates include Basic, All Data at expense level, a Canadian multiple tax export and custom admin templates. Receipts download as one ZIP file, and deleted expenses are excluded except in the Basic template.
How do I cancel an Expensify annual subscription?
The workspace owner requests it under Account, then Subscription, and gives a reason. Expensify approves it at once only if you were billed once with no balance. Cancelling moves you to pay-per-use, and you keep paying monthly until you delete the workspace.
Do I lose my receipts and expense history if I leave?
Not on cancellation, since the workspace, expenses and reports remain. Closing your account is different: it deletes unreported, draft and deleted expenses. Export a CSV and the receipt ZIP before you close anything.
What does Expensify cost per member?
Collect is $5 per unique member a month, pay-per-use only. Control comes as an annual subscription or pay-per-use, billed on active members. We could not verify the Control rates because the pricing page renders client-side, so confirm them in your account.
Is there a free tier if I downgrade?
Yes, for individuals. Personal accounts keep unlimited SmartScans, email receipt forwarding, distance tracking, manual entry and CSV export. A free Submit workspace lets employees submit expenses, but categories, tags and integrations need a paid workspace.
Which accounting systems does Expensify connect to?
QuickBooks Online, QuickBooks Desktop, NetSuite, Xero, Sage Intacct and FinancialForce appear in its card export settings. Expensify also says it integrates with more than 45 accounting and business systems, so check your target tool for the same links.
