Why buyers look past Box

  1. Governance and classification cost extra

    The Box governance page covers retention, legal holds and disposition but does not name a plan that includes it. The Shield page describes a Shield Pro add-on for the AI classification agent and ransomware activity detection. Records and compliance teams price these on top of the seat.

  2. Business plans have a three-user minimum

    The Box pricing page lists a three-user minimum on Business Starter, Business, Business Plus and the Enterprise tiers. Per-user prices are not shown in the page text we could read. Small teams and groups that only need file sharing can end up paying for a platform.

  3. Features rise with the tier

    Per the pricing page, upload limits climb from 2 GB on Business Starter to 5 GB, 15 GB and 50 GB on higher tiers, and custom metadata templates start on Enterprise. A team that needs large files or structured metadata moves up a tier instead of switching a setting.

A small Estonian DMS sold in flat monthly tiers based on users and storage, with a free trial. Pricing is predictable for a small office. It has fewer integrations and no equivalent of Box AI or an add-on classification layer.

Organizes documents by metadata instead of folders, with the structure enforced rather than optional. This is the answer if metadata discipline is the reason you outgrew Box. Cost is higher per seat, and rollout needs more design work than a shared-folder tool.

Capture-driven document management, strongest for invoices and approvals, sold through certified partners as quotes. It covers the invoice capture and controlled workflows that Box would need to be built around. It is a poorer fit for ad hoc file sharing with outsiders.

The closest direct rival for secure sharing with outside parties, with published per-user plans billed annually. Ransomware detection and retention policies begin on its Enterprise Lite tier. Governance is built toward the platform, but the same step-up pricing pattern applies.

Included in most Microsoft 365 business plans, so there is often no separate document platform bill. Compliance features through Purview need higher plans or cost extra. It suits organizations already on Microsoft, and needs more setup work than Box to feel tidy.

Open-source file platform you can self-host, with a German managed service for smaller organizations. It moves data off a US vendor's cloud if that is the aim. Governance, e-signature and AI features are less integrated than Box.

When Box is still the right choice

Stay on Box when most of your documents are shared with clients, partners or auditors outside the company, and you value its access controls and logs. Stay if you already pay for Governance or Shield and use them, or if your workflows rely on its integration catalog (1,500+ apps per the Box site). A migration to a heavier system is rarely worth it for sharing alone.

What to expect when you switch from Box

  1. Inventory shares and permissions first

    Box permissions, shared links and collaborator invitations rarely map one-to-one to another system. List external shares, expiry dates and group rules before you move, and decide which ones to recreate rather than copy.

  2. Plan the bulk transfer

    The Box support pages describe FTPS for initial bulk uploading and occasional bulk downloading on business and enterprise accounts, with a 32 GB file limit. Large archives take days, so run a pilot folder, then a delta sync before you cut over.

  3. Retention, metadata and integrations need rebuilding

    Retention policies, legal holds, metadata templates and Box Sign records are Box objects. Check which can be exported, keep legal holds in place until counsel agrees, and replace connected apps and workflows one at a time.

Questions and answers

Can I export all my files from Box?

Yes, files can be downloaded, and business and enterprise accounts can use FTPS for bulk transfer, with a 32 GB per-file limit per the Box support article. Metadata, retention rules and signing records may not move with the files, so confirm each before you cancel.

Is Box Governance included in my plan?

The Box governance page does not say which plan includes it, and our category file lists it as a paid add-on. Check your contract. If you do not use retention or legal holds, you may not be paying for it.

Is Box Sign included on business plans?

Yes, the Box Sign page states it is included with Business plans and above, with unlimited signature requests from the web app. Moving away means finding a signature tool again if you rely on it.

What happens to my files when I downgrade or leave?

Download everything before the subscription ends, because access follows the contract. Check the terms of service and your order form for the notice period and data retention window, as we could not read the terms page.

Does Box have a minimum number of users?

Yes, the pricing page lists a three-user minimum on Business Starter, Business, Business Plus and the Enterprise tiers. The Individual plan is a single-user free plan with 10 GB and a 250 MB upload limit.

Will Box AI features have an equivalent elsewhere?

Partly. Box says Box AI can summarize, analyze and extract data from documents, with 1K AI Units a month on Enterprise. Several alternatives have their own AI features, but check the vendor pages, as they differ in scope and in what they charge.
