Why buyers look past Aircall

  1. A three-license minimum and a 25-license jump

    Essentials and Professional both require at least three licenses, and Enterprise requires 25, according to the Aircall pricing page. A team of one or two cannot buy a standard plan, and a team of 15 that needs Enterprise features has to be quoted.

  2. Commitment terms differ by billing type

    Aircall's plans page describes monthly billing, annual billing with monthly invoices and annual upfront payment, which carries up to 25 percent off but locks licenses for the year. Reducing licenses mid-term needs the account team on annual contracts.

  3. Extras are billed separately

    Calls outside the home region need a bundle, and SMS, MMS and WhatsApp are excluded from bundles. Add-ons such as AI, Analytics+ and WhatsApp are billed per standard user, even if some licenses sit unused. International and AI usage is billed in arrears.

When Aircall is still the right choice

Aircall is still the right choice when your CRM or helpdesk is on its integration list and your team is three or more people on one or two regions. Essentials includes IVR, queuing and recordings, and Professional adds smart routing, queue callback and a Power Dialer. If you need only that, a full contact-center suite adds cost and rollout work.

What to expect when you switch from Aircall

  1. Port numbers before you cancel

    Your phone numbers are the one thing customers see. Request the port at the new vendor while Aircall stays active, and cancel only once the new numbers carry live calls. On annual upfront terms you keep paying for locked licenses until renewal.

  2. Check what history you can take

    Call recordings and transcripts sit in Aircall, and the pricing page notes recordings are available to one year by request on Essentials, with six months in the dashboard. Ask for an export of the recordings and call history you need before the contract ends.

  3. Rebuild routing and integrations by hand

    IVR menus, time-based routing, ring groups and CRM connections do not travel as a file. Document each flow and each integration before you start, then rebuild it and test with a small team first.

Questions and answers

Can I move my Aircall phone numbers to another provider?

Ask the new provider to start a port request and keep Aircall active until it completes. Aircall's help center covers creating and porting numbers in its admin activities section, and the new vendor sets the timeline for its side.

Can I export my call recordings from Aircall?

Recordings can be requested from Aircall, and the pricing page says access runs to one year on Essentials, with six months visible in the dashboard. Ask support for an export well before cancelling, since only a limited window is shown in the dashboard.

Will I be locked in on an annual plan?

On annual upfront billing, licenses are locked for the year and cannot be reduced mid-term, per Aircall's plans article. Month-to-month customers can remove unassigned licenses themselves, down to the three-license minimum, and the removal takes effect at renewal.

Does Aircall store data in the EU?

Aircall says it is extending regional storage for recordings, voicemails, transcripts and AI insights across North America, EMEA and Asia-Pacific. Its regional hosting page states that coverage is rolling out and does not guarantee where every data type sits today, so confirm in writing.

Why do international calls cost extra on Aircall?

Outbound calls outside your home bundle are charged separately, because bundles cover set destinations only. Aircall's pricing page says international outbound rates on Essentials and Professional are available on contact, and Enterprise lists unlimited global calls.

Is there an Aircall plan for one user?

Yes, a Starter AI Plan removes the three-user minimum and includes one user, one number and AI Voice Agent minutes. It is built around the AI voice product, and it excludes AI Assist, so check it covers what you need.
